JOB PURPOSE AND REPORTING STRUCTURE: As a member of the Milwaukee Symphony Orchestra’s Advancement Team, the Campaign Coordinator plays a critical role in the Endowment campaign’s overall success. This individual will report to the Senior Director of Advancement & Major Gifts, work alongside Advancement Department team members and the Vice President of Advancement and support the Advancement Department’s efforts in executing a successful Endowment Campaign.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinate scheduling and preparation for meetings of the Campaign Co-Chairs and Campaign Cabinet and assist the Senior Director of Advancement & Major Gifts in facilitating those meetings.
- Serve as the point person for requests from campaign volunteers.
- Manage production of materials and coordination of strategy conversations prior to donor visits.
- Draft the correspondence and proposals for volunteers to use in their prospect outreach.
- Participate in campaign prospect review meetings with the MSO Advancement Dept.
- Oversee and implement data management best practices for the campaign.
- Ensure the MSO’s compliance with its gift acceptance and campaign counting and recognition policies throughout the campaign.
- Support campaign reporting and updates for Board members and the Campaign Cabinet.
- Ensure that donors are recognized and stewarded appropriately.
- Support the execution of small group and large-scale campaign cultivation and stewardship events.
- Oversee and support the coordination of gift agreements, pledge collections, and pledge reminders from donors and other funding proposals for support from foundations and corporations
OTHER DUTIES AND RESPONSIBILITIES: May be responsible for cultivating/soliciting/stewarding a small portfolio of campaign prospects.
CONTACT WITH OTHERS: This position is highly visible and has contact with MSO donors, MSO ticket buyers and concert attendees, MSO board members, campaign volunteers, MSO staff and orchestra members
EDUCATION AND/OR EXPERIENCE: This position requires a bachelor’s degree in a related discipline and at least 1-2 years development/advancement experience is preferred or 1-2 years in a customer service or clerical position. Must have proficiency in Microsoft Office Suite and CRM database (Tessitura preferred). A solid understanding of fundraising principles is required. Candidates will also have a keen appreciation for the organization’s history, mission, and contributions to the arts. The successful candidate will welcome the opportunity to attend evening and weekend concerts on a regular basis, to participate in special events, and to become a visible and active member of the Milwaukee community.
LANGUAGE SKILLS: This position requires excellent verbal and written communication skills.
OTHER SKILLS AND ABILITIES: Ease in working with donor databases is required. Tessitura database experience helpful and preferred. Understanding how to handle sensitive materials. Experience with music desired. Intellectual curiosity is necessary. Must be able to use a computer and related software, as well as a printer, telephone, voice mail, fax, copier/scanner and calculator. Must have a cell phone.
