What are the responsibilities and job description for the PAYROLL SPECIALIST position at Mimecast?
The Mimecast Finance Team is looking for a Payroll Specialist to join the regional payroll team. The primary objective of this role will be to support regular payroll processing. This includes ensuring that all employees are paid accurately and on time, maintaining payroll records, complying with all federal, state, and local regulations, acting as a primary contact with third-party payroll providers and strong collaboration with the Mimecast HR and Benefits Team.
What You'll Do :
- Assist with accurate and timely payroll processing for US, CAD, and PEO payrolls on different pay frequencies on a regular basis.
- Review and verify timekeeping data (e.g., timesheets) for completeness and accuracy before processing.
- Assist with the creation and / or adjustment of pay and benefit codes alongside ADP.
- Audit / process employee maintenance, including new hires, terminations, pay changes, and retroactive pay fed directly from Workday HRIS.
- Maintain employee records and data integrity in payroll systems, as well as corresponding backup.
- Prepare journal entries and account reconciliations on a monthly basis.
- Respond to employee inquiries regarding payroll-related issues.
- Assist in state and local payroll jurisdiction registrations and tax agency notices.
- Perform several post-payroll functions, including 401k / RRSP funding.
- Work closely with payroll manager and payroll provider to process any prior period amendments / adjustments.
- Assists with year-end payroll tasks, including but not limited to reconciliation / distribution of W-2s / T4s.
- Ensures payroll compliance procedures and internal controls are being adhered to. Maintains accurate and up-to-date knowledge of federal / state / country payroll compliance laws.
- Prepare ad-hoc wires as needed.
- Assist with various audits by providing necessary payroll documentation and reports.
