The Accounts Payable Supervisor is responsible for activities and operations in the accounts payable function for the organization. This role provides prompt and complete resolution to AP inquiries and issues. Ensures timely processing on vendor invoices and maintains accurate accounting records and control reports. Oversees accounts payable staff in a function characterized by highly transactional or repetitive processes. Monday-Friday, Day Shift (Hybrid)
The Accounts Payable Supervisor is responsible for activities and operations in the accounts payable function for the organization. Oversees accounts payable staff in a function characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures to improve efficiency and adherence to best practices.
Essential Functions And Responsibilities
- Lead and mentor the Accounts Payable team
- Manage the day-to-day Accounts Payable activities
- Supervise and support accounts payable team ensuring team achieves an effective workload balance and meets responsibilities and deadlines
- Review all newly created purchase orders for completeness and accuracy
- Provide vendor statement reconciliation on monthly basis
- Investigate and resolve problems associated with invoice and/or payment discrepancies timely and completely
- Manage vendor relationships and accurately maintain vendor records including vendor account set up, W-9s, Certificates of Insurance when applicable
- Lead monthly accrual process including review of prior month accrual to determine if items need to be re-accrued, contact vendors & department heads for services provided not yet billed, review of monthly recurring expenses
- Maintain monthly recurring AP transactions spreadsheet
- Assist with month-end close as needed
- Assist with various Finance department projects as needed
- Completes Annual 1099 reporting
- Bachelor’s degree in Accounting or Business Administration preferred, a minimum of 3 years of experience in an accounting function or equivalent; minimum of one year of lead or supervisory experience. Life sciences experience in pharmaceutical or biologics environment preferred.
- Knowledge of best practices and internal controls
- Proficient in accounting software (i.e. NetSuite) and Microsoft Office or related software
- Thorough understanding of accounts payable function and general accounting principles

- Directly supervises Accounts Payable Staff which includes the following:
- Oversees and trains AP staff
- Assigns tasks and provides guidance on escalated matters as needed
- Creates and maintains staff schedules to ensure timely execution of deliverables in the most effective manner
- Assists with performance management activities such as coaching and mentoring, performance planning, feedback discussions, performance evaluation, and performance reviews. Will also assist with career mentoring, IDPs, and disciplinary matters as necessary.
- Interviews prospective employees and selects the best applicant based on skills, knowledge, and abilities required for the job.
- Build Quality into all aspects of your work by maintaining compliance to all quality requirements.
- Ensure compliance to all FDA and Worldwide Quality & Compliance regulations (As applicable to the job function).
- Attend all required Quality & Compliance training at the specified interval.

- Hybrid work schedule. Minimum one day indoors in an office environment.
- May occasionally be exposed to loud sounds and distracting noise levels, such as from office equipment or people located in open floor environment.

- Must be able to handle the standard/moderate noise of the manufacturing facility
- This role operates within a professional office environment of a manufacturing operations plant. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Seating is mixed and includes open space seating, cubicle, and office space. Noise level is moderate.
