JOB SUMMARY
The Progressions Outpatient Coordinator is responsible for providing comprehensive support to the Progressions and IOP Care Teams. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This position is on-site.
ESSENTIAL JOB FUNCTIONS
- Act as a passionate ambassador for the Progressions and IOP service lines by greeting and welcoming incoming patients, community members, outside patrons, and team members to support the full continuum of care Mind 24-7 has to offer.
- Successfully assists the patient in transitioning from Express and Crisis services to Progressions or IOP based on clinical consultation with patient's treatment team.
- Register incoming patients into the electronic health record, verify insurance, discuss copay (as applicable), acquire patient commitment to programming, and complete prior authorizations as needed.
- Collects payments, and co-pays from in-person patients and telehealth patients.
- Assists in the intake and admission process for patients.
- Supports team members with patient care as needed.
- Assists in the involuntary process of Title 36, as needed for patients.
- Coordinate the schedule of outpatient visits, including telehealth, ensuring accurate patient contact information is obtained, as well as ensuring appropriate date and time for visit given.
- Coordinate the initial appointments and transportation needs for patients transitioning to Progressions or IOP.
- Coordinate with on-site clinic personnel with handling discharges to Progressions.
- Assists in completing patient paperwork.
- Work with on-site finance team for billing.
- Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Assist in preparation of scheduled required reporting.
- Develop and maintain site specific filing system including, but not limited to clinical oversight, clinical supervision, etc.
- Serve as the primary point of contact for internal and external patrons on all matters, including those of a highly confidential or critical nature.
- Liaise with executive and senior administrative assistants to handle requests and queries for Progressions Care Team.
- Provide hospitality to all guests and help to create a welcoming environment.
- Answer phone lines and respond to inquiries as needed.
- Liaise with facilities to receive deliverables and distribute items accordingly.
- Other projects/duties as assigned for overall benefit of the site.
- Will attend supervision sessions as required.
- Will complete all other required trainings as assigned.
POSITION QUALIFICATIONS
Minimum Qualifications:
- High School Diploma or equivalent required.
- Expert proficiency with Microsoft Office.
- Previous experience in Medical Scheduling
- Strong verbal and written communication skills.
- Exceptional organizational skills and impeccable attention to detail.
