Role Overview
The Marketing Activations Coordinator will focus on executing the logistics and coordination of events and activations. This hands-on role requires flexibility for early mornings, late nights, and some physically demanding tasks like lifting heavy materials. The ideal candidate is bilingual (English/Spanish), thrives in high-energy environments, and excels at on-the-ground logistics.
Key Responsibilities
1. Event & Activation Logistics Management
- Execute and oversee setup, execution, and breakdown of events, ensuring timely delivery of materials and smooth operations.
- Coordinate the transport, installation, and storage of assets with vendors and production teams.
2. Client-Facing On-Site Support
- Act as the main contact for clients during events, addressing their needs and ensuring a seamless experience.
- Provide regular updates on progress, ensuring client expectations are met at every stage.
3. Production Team Coordination
- Lead and manage production teams, ensuring timely and efficient setup and breakdown of event materials.
- Ensure clear communication and delegate tasks to maintain smooth event execution.
4. Physical Setup & Breakdown
- Assist with the physical setup and breakdown of event assets, including lifting and moving heavy materials.
- Ensure all equipment and promotional items are properly handled and stored post-event.
5. Vendor & Venue Management
- Manage vendor relationships, ensuring schedules, budgets, and quality standards are met.
- Handle venue logistics, including identifying permit needs, coordinating access, and working with venue staff.
6. Timing & Scheduling
- Maintain tight control over event schedules, ensuring timely execution of all event phases.
- Coordinate early morning or late-night hours as necessary to meet activation needs.
7. Post-Event Wrap-Up & Reporting
- Supervise event breakdown, ensuring all assets are packed up and returned properly.
- Report on event feedback and performance to improve future activations.
Skills & Qualifications
- Bilingual (English/Spanish) required.
- 1-3 years of experience in event coordination or logistics.
- Ability to lift heavy items and coordinate physical setups.
- Ability to travel by car, train, and plane.
- Strong time management skills and the ability to work flexible hours, including evenings and weekends.
- Team collaboration
- Interest in wellness or fitness industries and alignment with Mind Body Social’s mission.
- Customer service skills
- Effective communication (written and verbal)
- Experience with large-scale event setups is a plus.
- Familiarity with event management tools and software.
