Position Description
We are seeking a detail-oriented and organized Finance Specialist (FS) with an aptitude for numbers to support the financial operations of our non-profit organization. The ideal candidate will play a key role in accurate financial reporting, effective management & analysis. The FS will possess knowledge of best practices in finance & accounting, preferably for non-profits.
The Finance Specialist will embody MLP’s core values of Mindfulness, Self-Awareness, Curiosity, Social Justice and Celebration. The Finance Specialist will report directly to the Director of Finance.
Responsibilities:
The Finance Specialist will support the Director of Finance to maintain effective and efficient internal controls and ensure compliance with current legal standards, donor requirements and management best practices. The main responsibilities include:
- Create and distribute invoices to customers
- Receive and record payments as well as upload documentation used for audit purposes
- Update and maintain accounts receivable (A/R) spreadsheet with outstanding invoices and payments received
- Record bank transactions in QBO and complete proper documentation for the archiving of checks received
- Record monthly donations
- Receive and handle bills for timely processing and payment
- Ensure proper recording of accounts payable (A/P) in QBO
- Ensure the integrity of accounting information by recording, verifying, consolidating, and entering transactions in QBO
- Support month-end accounting close process
- Support preparation of reports in QBO, Google Sheets/Microsoft Excel or other platform to assist leadership team with decision-making
- Assist with the annual audit process as needed (including related year-round tasks)
- Support the bi-weekly payroll process for all employees including occasional off-cycle payrolls.
- Assist in reimbursement process
- Create ad-hoc spreadsheets/documentation as needed
- Ensure compliance with MLP protocols and processes
- Other duties assigned as needed
Qualifications:
- Bachelor’s degree OR similar experience in Finance, Accounting or related field
- Proficiency using standard spreadsheet, document and presentation software (e.g. Google Suite, Microsoft Office, Adobe Acrobat)
- Knowledge of U.S. generally accepted accounting principles (U.S. GAAP) including at least 1-year experience with non-profit accounting
- Experience with processing payroll including familiarity with payroll software (e.g. BambooHR)(Preferred)
- Experience with accounting (e.g. Quickbooks Online) & expense management software (e.g. Bill.com, Tallie)(Preferred)
- Excellent time management and organizational skills
- Excellent communication skills with the ability to present financial information to both financial and non-financial stakeholders
- Strong analytical skills with the ability to gather, organize, analyze, and report financial information with attention to detail and accuracy.
