We are seeking an individual with a background in medical assisting and front desk operations, who has the potential to transition to a full-time position after a 90-day probationary period. This role is integral to our fast-paced, multi-faceted team environment. We are looking for someone who can effectively communicate and collaborate to provide positive, patient-focused care.
As a Front Desk Office Assistant with a Medical Assistant background, you will be responsible for:
- Assisting the front desk, billing department, compliance department, executive team, and clinical department with daily tasks and projects.
- Welcoming patients and visitors in person or on the telephone; responding to or receiving inquiries and consultations.
- Receiving, directing, and relaying telephone and fax messages.
- Tracking and preparing medical record requests.
- Scheduling appointments in person or by telephone for consultations, imaging, and surgical procedures.
- Verifying insurance eligibility, benefits, and pre-authorization.
- Posting insurance and patient payments accurately.
- Contacting insurance companies to research, appeal, track, and resolve any unpaid claims.
- Overseeing the front desk patient payment collection process and reconciliation.
- Assisting with medical coding and billing.
In addition, with your medical assisting background, you will also:
- Measure and record vital signs.
- Record patient interviews, histories, and chief complaints.
- Provide patient education regarding office policies, medications, management of diseases, home treatments, and special diets.
- Prepare patients for examinations and perform routine screening tests.
- Assist the physician with exams and minor office surgeries.
- Perform phlebotomy and collect other lab specimens.
- Assist with ultrasounds and other diagnostic tests.
- Prepare and administer medications with physician’s authorization.
- Change dressings, apply bandages, remove sutures, and perform other first aid procedures.
- Use CPR skills when required.
- Maintain supplies and equipment, including stocking and sterilizing instruments.
- Dispose of biohazard waste according to OSHA standards.
- Practice OSHA safety standards.
- Perform accurate, legal, and ethical documentation at all times.
- Carry out other administrative or clinical duties as instructed by Executive Staff.
The ideal candidate will be:
- A detail-oriented problem solver with excellent time-management abilities and a keen eye for detail. Must come with solutions.
- Comfortable managing multiple time-sensitive deadlines and prioritizing effectively.
- Experienced in front desk operations with a solid background in medical assisting (College Degree preferred), with experience in MedSpa, Plastics, Dermatology, or Aesthetics being a plus.
- Knowledgeable in healthcare regulations and medical terminology.
- Possessing outstanding written and verbal communication skills.
- Experienced with EMR systems and electronic medical records.
- Tech-savvy with a strong grasp of relevant software and tools.
