What are the responsibilities and job description for the Intake Coordinator position at Minivasive Pain & Orthopedics?
Minivasive Pain and Orthopedics is looking for a full-time Intake Coordinator to join our team. The Intake Coordinator's responsibility is to secure and confirm permission to schedule the initial appointments for new patients. This involves collecting and finalizing the necessary information for new patient referrals, inputting their information, handling letters of protection (LOP), validating patient eligibility and insurance coverage, arranging appointments, and maintaining communication with referral sources and relevant departments about the patient's progress and any changes.
ESSENTIAL FUNCTIONS:
Intake
- Ensure that all necessary authorizations have been obtained prior to scheduling new patients.
- Collects new patient referrals and ensures corresponding referral log is up to date.
- Creates new patient charts in Salesforce and eCW with complete patient information and demographics, ensuring
- Scheduling and rescheduling of initial consultations for patients when required.
- Informs and updates patients with all necessary appointment information and instructions timely.
- Takes telephone messages and provides feedback and answers to patient and referral sources.
- Respond and comply with requests for information via telephone or e-mail.
Insurance Verification
- Verify insurance eligibility for upcoming appointments by utilizing online websites or contacting carriers directly.
- Completes verification forms and uploads onto the patient's electronic medical record (EMR), eCW.
- Determines patient co-payments and calculates co-insurance and deductibles.
- Accurately input insurance coverage details such as co-payments and deductibles into the patient's EMR, eCW.
- Assists front office with verification questions or concerns.
- Resolves any coverage issues and update patient EMR, eCW.
KNOWLEDGE, SKILLS, AND ABILITIES:
• Broad knowledge of the content, intent, and application of HIPAA, federal and state regulations
- Knowledge with in and out of network insurances, insurance verification, patient responsibility, and process for prior authorization
- Strong knowledge of computer and relevant software applications
- Exceptional customer service and phone etiquette
- Requires good communication skills (verbal / written)
- Strong attention to details
EDUCATION AND EXPERIENCE:
• High School Diploma or GED
- One (1) year in a medical office or facility setting.
