Learning Programs Coordinator

The Job
The Learning Programs Coordinator plays a crucial role in the Learning department by coordinating programming and working closely with the team. Key responsibilities include administrative support for studio classes, in-gallery lessons, and workshops for PK-12 teachers, students, higher education professionals, and youth groups. Additionally, this role serves as a backup for the Tours & Programs Coordinator and collaborates with other department coordinators to streamline programming processes.
In this role, you will…
1. School Programs Coordination
· Coordinate all aspects of learning/education programs. Assignments could include creating and managing schedules for PK-12 programs during the school year and offerings during the summer for summer schools.
· Create supply lists, ensure that materials are ordered, and prep materials for programs.
· Oversee scheduling for Art Adventure pick up and drop off, sending emails to in-person and online training, including links for online sessions.
· Collaborate with department staff on details and communications.
· Serve as day-of coordinator at programs and assist with studio and in-gallery program setup.
· Order materials and refreshments for educator events.
2. Administrative Support
· Create and manage email lists of administrative leads, curriculum coordinators and teachers by district and grade level, as well as lists of university/college instructors by disciplines.
· Request translation services for program and learning resources.
· Process contracts, bus reimbursements, and payments.
· Make copies of program materials.
· Create invitations for educator events and manage registrations.
· Set up interview schedules for casual/program-specific hiring.
· Support recruitment and training of volunteers.
· Make website updates for the Learning and Volunteers teams.
· Track Learning programs statistics. Support the Volunteers team with administrative tasks.
3. Tour Programs Support & Process Management
· Support the coordination of scheduled guided tours, related programs, and guide assignments as needed.
· Collaborates with department coordinators to streamline program processes.
· Assists the Visitor Experience team with school tour greeters on high traffic days.
4. Perform other related duties and responsibilities as required or assigned.

Requirements:
Required:
· Bachelor's degree required, preferably in visual arts-related field or equivalent experience
· Minimum of one year experience with program coordination
· Experience supporting a team
· Experience utilizing multiple types of office and scheduling software - Google Office Suite, Microsoft Office Suite, Project Management software (Asana), Scheduling software, CRM software (Salesforce)
Preferred:
· Two to three years of related experience, especially with schools and volunteers
· Experience with volunteers, volunteer service, and/or visitor services
· Knowledge of some art history is helpful
· Experience with scheduling and volunteer software desired
Other requirements:
- Work onsite at Mia (No remote)
- Occasionally required to lift and carry objects up to 25 lbs. as part of program setup and breakdown
- Stamina to stand for extended periods during events and handle physically demanding tasks
- Flexibility to work irregular hours (approximately twice per month), including evenings and weekends, as required by program schedules
