Role Summary
- Seasonal hiring: reference checks, set up interviews, coordinate with HR and hiring managers for all proper paperwork
- Distribute mail (general support of building.)
- Coordinate Director(s) calendar
- Participates in a variety of administrative tasks, i.e., budget preparation, monitor expenditures, order supplies, process requisitions, process payroll, accounts payable, etc.
- Performs detailed research, collect and compile data for administrative and annual reports, agreements, contracts, other documents, and a variety of informational materials.
- Coordinate with AM staff for any board information.
- Coordinate Report of Officers for Divisional Administrator
- Coordinate Monthly newsletter for Divisional Administrator
- Enter Board information in a timely manner for Dept/Divisional Review (agenda.net)
- Prepare bids/resolutions
- Track AM data as requested by Director.
- Assist in new employee onboarding and hiring announcements.
- Knowledges of a variety of software
- Work closely with and assist ES divisional Administrator.
- Coordinate and track required training for team per Director’s instruction.
- Process registrations and payments
- Assists with Dept wide events
- Coordinate action items from dept meeting
- Recognition/Award program Coordination
- Coordinate with procurement with all contracts/RFP
- Contract preparation
- Updating Spec
- Updating Bid Sheets
- Monitoring current balances & Expiration date
- Online Purchases
- Emergency contact updates- twice a year
- Work order system-check work orders, daily, great backup- 5 hours week
- Copy machine/Plotter
- Other roles as assigned

Minimum Qualifications
- Associates Degree or Business Certificate from an accredited college with courses in business administration, office technology, or related field.
Administrative support experience: three (3) years. (Public sector experience preferred) - Combination of education and experience may be considered
Background Investigation
Must complete and pass a criminal background check.
Compensation
$20-26 per hour.
You are eligible to receive sick and safe time per the Minneapolis City Ordinance and Minnesota Earned Sick and Safe Time and will earn one (1) hour of sick and safe leave for every thirty (30) hours worked. This position is not eligible for other benefits.
Hours
24-32 per week., M-F 730-4
