We are seeking a dedicated and detail-oriented Legal Assistant to join our law firm, with a primary focus on supporting the collections process. This role will require a proactive and organized individual to manage and oversee collections-related tasks while also providing backup support to our transactional team as needed. The ideal candidate will have strong communication skills, a keen eye for detail, and the ability to multitask effectively in a fast-paced legal environment.
Key Responsibilities:
Collections & Mechanics Liens:
- Manage and oversee client accounts in the collections process, including monitoring outstanding balances, drafting and sending demand letters, and communicating with clients to resolve payment issues.
- Prepare and file Mechanics Liens, ensuring compliance with state lien laws.
- Draft and send collection notices, ensuring all communications adhere to legal standards and firm procedures.
- Maintain accurate records and documentation of all collection efforts, mechanics liens, and related actions.
- Work with attorneys to establish payment plans, settlements, or alternative resolution methods.
- Track the status of outstanding debts and provide updates to attorneys, management and clients regarding collection statuses.
- Assist attorneys with Conciliation court document drafting and monitoring.
Transactional Support (Backup Role):
- Provide administrative support to the Transaction team, including, preparing Contracts, call/meeting scheduling, letter drafting, and setting up new matters.
- Assist in managing files, ensuring all relevant information and documentation are organized and up to date.
- Support the Transaction team by preparing and reviewing documents such as contracts, agreements, and other legal materials.
- Coordinate communications and meetings between clients, attorneys, and external parties involved in transactional matters.
Qualifications:
- Education: Associate Degree
- Experience: At least 2 years of experience in a legal assistant or paralegal role, with a strong focus on collections or debt recovery. Experience in Conciliation and transactional support is a plus.
* Skills:
- Strong knowledge of legal terminology, documents, and collections processes.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Comfortable learning new technology
- Familiarity with legal case e-filing.
- Excellent organizational, communication, and multitasking abilities.
- Ability to work independently as well as part of a team in a fast-paced environment.
- High level of attention to detail and ability to maintain confidentiality.
- Ability and willingness to assist with various tasks as needed.
- Comfortable working in an environment where dogs are present.
