What are the responsibilities and job description for the Court Operations Clerk - Dakota County District Court - Customer Service position at Minnesota Judicial Branch?
The First Judicial District is seeking qualified applicants for a customer service focused Court Operations Clerk to join the Dakota County Court Administration team in Hastings, MN.
This position will be responsible for assisting court customers over the phones and email. The Centralized Customer Service Division handles approximately 290 customer contacts daily regarding all court divisions.
The primary work location for this position is in the Centralized Customer Service Division at the Dakota County Judicial Center in Hastings, MN 55033. Reimbursable travel to train or work at other Dakota County Court facilities may be required, including Dakota County Northern Service Center in West St. Paul, MN 55118 and Dakota County Western Service Center in Apple Valley, MN 55124. This position is eligible for hybrid work after a successful training period. Standard hours of work are Monday - Friday, 8:00 AM - 4:30 PM.

What You Will Do
The following are examples of major job duties expected of this position:
- Respond to approximately 65 customer phone inquiries per day related to general information for all court divisions, such as, case status and hearing information and continuance requests and Zoom hearing information and guidance on Zoom.
- Receives and responds to questions and requests for information from the general public, attorneys, and court employees; provides requested information in accordance with applicable policies, laws, and procedures; issues receipts for payment of court fees, fines, bail, and restitution; checks people in for court; assists public in filling out various applications and forms; prepares certified and plain copies of court records upon request.
- Performs routine and/or limited scope court operations work, which may include scanning and/or imaging documents, data entry, retrieving and filing case files and documents, and/or responding to requests for information.
- Performs filing and retrieval of paper records, exhibits, electronic records, and electronic or digital records of legal or other proceedings; sets up and maintains documents, files, records, and reports relating to court activities; indexes and files a variety of records; inputs, updates, or deletes information in electronic case management system; copies, scans, and distributes documents including imaging original documents into digital files; assigns appropriate security levels for documents; manages, handles, indexes, stores, maintains, returns, and/or destroys court exhibits and documents per policies and procedures.
- May initiate case records using electronic means or paper documents; records required data regarding parties, documents, flags, comments, and events in electronic case management system and other relevant systems; scans original documents into digital files for attachment to electronic case record.
- Attends and participates in division/team meetings and trainings; maintains knowledge of court policies, processes, and procedures.
- Utilizes applicable technology (i.e., operating and information systems and/or programs) and office equipment to perform and complete work assignments.

- High School Diploma or Equivalent
- Six months of recent experience in general clerical work
- Ability to connect to high-speed internet if working remotely
Nice to Have

- Experience working in Minnesota Court Information System (MNCIS) the Minnesota Judicial Branch electronic case processing system
- Experience working in a high-volume customer service environment

The expected starting salary range for external candidates is $17.88 - $23.19 per hours ($37,333.44 - $48,420.72 annually) based on qualifications. The full salary range for this position is $17.88 - $28.49 per hour ($37,333.44 - $59,487.12 annually). This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.
