Job Summary:
As the Director of Operations for our Specialty Clinics at Minnesota Mental Health Clinics, you will play a critical role in ensuring the smooth and effective administrative management of our Assessment Clinic, Trauma Clinic, Psychiatry and other areas of clinical expansion. In this role, you will work in a dyad partnership with a clinical leader, combining your operational expertise with their clinical insights to deliver outstanding care and outcomes for our clients. This position offers the opportunity to drive innovation, streamline processes, and collaborate with a team dedicated to providing accessible, high-quality mental health services to the community.
Key Responsibilities:
Enhance Client and Provider Experiences:
- Champion the client experience by refining scheduling, client onboarding, care progression, and resource development specific to specialty clinic needs.
- Collaborate with the clinical leader to identify and implement best practices for intake, assessments, and care delivery.
- Lead initiatives to continuously improve client satisfaction and ensure that operational processes align with clinical goals.
Specialty Clinic Oversight:
- Manage the day-to-day operations of specialty clinics, ensuring that both are running efficiently and meeting key performance metrics.
- Develop and monitor workflows that support the unique needs of these specialty clinics, including recruitment, scheduling, documentation, and reporting.
- Partner with clinical leadership to ensure seamless integration of care delivery and operational support.
Project Management Responsibilities:
- Lead and manage cross-functional projects that support the development, expansion, and efficiency of specialty clinics.
- Develop clear project plans, timelines, and milestones, ensuring accountability and progress toward strategic goals.
- Facilitate regular check-ins with stakeholders, including clinical leaders, administrative teams, and external partners, to ensure alignment and address challenges proactively.
- Identify and mitigate potential barriers to implementation, ensuring that initiatives are executed efficiently and effectively.
- Monitor project outcomes, evaluate success, and adjust strategies as needed to drive continuous improvement.
Operational Excellence and Innovation:
- Oversee facility and resource management for specialty clinics, ensuring that the environment supports high-quality care delivery.
- Innovate processes to improve the efficiency and effectiveness of specialty clinic operations.
- Monitor and report on key operational metrics, using data to drive decision-making and continuous improvement.
- Monitor in collaboration with revenue cycle leadership, billing and claims processes to ensure accuracy and timeliness for specialty clinic services.
- Work with the clinical leader to track financial metrics, optimize revenue, and manage resources effectively.
- Ensure all operational activities adhere to legal and ethical guidelines specific to the clinics’ services.
MHA Resident & Fellowship Program Oversight:
- Lead the development, implementation, and management of the MHA Residency and Fellowship programs, ensuring alignment with organizational priorities and specialty clinic needs.
- Serve as the primary administrative mentor for MHA residents and fellows, providing structured guidance, support, and professional development opportunities.
- Partner with leadership to develop rotational experiences and project-based learning opportunities that expose residents and fellows to key areas of healthcare operations, financial management, strategic planning, and quality improvement.
- Evaluate program outcomes and continuously refine processes to ensure the residency and fellowship programs remain competitive, engaging, and beneficial to both the participants and the organization.
Qualifications:
Education:
Master’s degree required, with a preference for a Master of Healthcare Administration (MHA) or a related field such as Business Administration, Public Health, or Healthcare Management.
Experience:
- At least 1 years of experience in healthcare operations, preferably in outpatient or behavioral health settings.
- Experience managing specialty or niche programs is highly desirable.
Measures of Success:
- Clinician Recruitment & Retention: In collaboration with your clinical dyad, effectively attract, recruit, and onboard clinicians for specialty services, ensuring appropriate staffing levels to meet client demand and maintain high-quality care.
- Training & Professional Development: Develop and implement structured training pathways that support clinician specialization in ADHD assessment and trauma treatment, enhancing engagement and professional growth.
- Operational Efficiency & Practice Management: Establish and maintain specialty-specific administrative support that streamlines clinician workflows, enhance service delivery, and optimizes client care.
- Financial Sustainability & Strategic Growth: Maintain fiscal responsibility by adhering to budgetary guidelines while implementing scalable strategies that support the sustainable expansion of specialty services.
- Client & Clinician Experience: Foster a high-quality care environment by ensuring strong client satisfaction, improving access to specialty services, and equipping clinicians with the tools and support needed for optimal service delivery.
