POSITION :

Purchasing Coordinator

SCHEDULE :

REPORTS TO : Controller

SUPERVISION : None

SALARY : $26.00 - $32.00 / hour DOE

QUALIFICATIONS : Required

  • Associate's degree in business, accounting, finance, or related field (experience may be substituted for education in exceptional circumstances)
  • Proficiency with Microsoft Office Suite programs
  • Preferred

  • Skyward software experience
  • Experience in school district finance or accounting and knowledge of UFARS
  • Experience with public purchasing and / or bidding processes
  • Three to five years of purchasing, accounting or finance experience
  • POSITION SUMMARY :

    Under the direction of the Controller, the Purchasing Coordinator is responsible for the administration of procuring, processing, receiving and coordinating the purchase of goods and services for the district.

    ESSENTIAL DUTIES :

  • Manage daily purchasing activities including reviewing, approving, and processing purchase orders to ensure that they are following district purchasing procedures and are following all contracting and bid laws
  • Manage the Skyward purchase order processing system and provide training and support to district staff regarding purchasing processes
  • Review procedures for accounts payable processing, make recommendations for changes to improve efficiency, and work with district staff to implement changes
  • Provide the necessary documentation to establish tax exempt status with vendors
  • Assist with the administration of the fixed asset program for internal control and audit purposes
  • Oversee the disposal of obsolete and surplus equipment
  • Manages the process for obtaining bids, quotes, and requests-for-proposals for purchases when required
  • Reviews options for utilizing joint purchasing / cooperative purchasing contracts and agreements to ensure best practice, price, and value
  • Organize and manage a functional filing system that ensures the safe retention and efficient retrieval of office records in accordance with established state and federal laws
  • Manage the districts procurement card program
  • Create and maintain a district procurement manual
  • Administer the collection and receipt of vendor insurance certificates
  • Manage the district's furniture inventory including purchases and disposals
  • Assist with the creation of 1099s
  • Prepare monthly disbursements reports for board approval
  • Other duties as assigned
