Basic Function and Scope of Responsibilities: This position is responsible for greeting each caller and directing them to the appropriate staff member.
Principal Responsibilities:
- Answer calls in a courteous, professional, and efficient manner. Keeping in mind that they are representing the company as an organization and as an extension of the individual physician team(s) or departments.
- Sends messages and tasks to appropriate parties in the EMR ensuring they are collecting, verifying, and sending all relevant information.
- Accurately and efficiently enters data and annotates information in patient charts.
- Prioritizes each call based on the urgency and importance of the situation. Understands when something requires immediate attention and can successfully triages calls within their scope.
- Able to transfer, page, merge, and place calls on hold as needed.
- Follows HIPAA and other privacy polices so patient confidentiality is maintained.
- Able to balance call duration with the number of calls in queue.
- Demonstrates excellent customer service, responds promptly to patient, physician, management, and clinic requests/needs.
- Professionally communicates with internal and external stakeholders.
- Other duties as assigned.

Education Requirements: High School Diploma or GED
Performance Requirements:
Knowledge:
- Knowledge of medical practice protocols related to phone.
- Knowledge of computer systems.
- Knowledge of customer service principles and techniques.
- Knowledge of medical terminology.
Skills and Abilities:
- Skill in communicating effectively with physicians/clinicians.
- Skill in maintaining a proficient and professional demeanor.
- Skills in directing and/or taking messages for each call.
- Skill in understanding and following oral and written instructions.
- Ability to multitask effectively, dealing with phone calls, staff, and others pleasantly.
- Ability to communicate calmly, clearly, and concisely with patients about appointments in all circumstances including when they are ill or have an emergency.
- Ability to analyze situations and respond appropriately.
- Ability to handle multiple projects simultaneously and prioritize.
- Maintain confidentiality inside and outside the workplace.
- Demonstrate accuracy and thoroughness.
- Understand and follow federal regulations pertaining to healthcare, OSHA, HIPAA, etc.
- Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.

- Work may be stressful at times due to continual interaction with others and the nature of the medical specialty.
- Must possess the physical and mental abilities to perform the tasks normally associated with the role including walking, bending, standing, reaching, and sitting.
- Medical office or reception area. Exposure to communicable diseases and other conditions related to clinic setting.
