Summary: The File Clerk is responsible for organizing and maintaining a company’s documents and records. This role is crucial for ensuring efficient document management and accessibility withing the organization. The requirements listed below represent the knowledge, skills, and abilities necessary for successful performance in this role.

Essential Duties/Responsibilities:

  • Reads incoming material and sorts according to file system in use.
  • Locates and pulls requested information, and keeps records of materials removed, and traces missing records by searching files or contacting person to whom record is assigned.
  • Clear files at designated intervals under direction of a supervisor, process file disposition annually.
  • Transcribes notes from meetings or possibly from other sources.
  • Composes and prepares routine correspondence.
  • Organizes and maintains Kardex file system and files correspondence and other records. Schedules regular maintenance of Kardex filing machine.
  • Conducts general office duties; answers incoming telephone calls and routes them to the proper person.

· Perform any other reasonable duties as assigned.

· Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, and can compute rate, ratio, and percent and to draw and interpret bar graphs.

· Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form and can deal with problems involving several concrete variables in standardized situations.

Qualifications:

· Education and Experience: High school diploma or equivalent required.

· Office & Computer Skills: Proficient in MS Office (Word, Excel, PowerPoint) and office equipment.

· Physical Demands: Ability to sit for long periods; may require standing, walking, stooping, kneeling, or crouching; must frequently lift/move up to 10 pounds and occasionally lift/move up to 50 pounds.

· Work Environment: Moderate to high stress with a moderate to heavy workload; ability to handle stress and meet deadlines is essential.

· Valid Driver’s License.
