Reports to/Supervised by: Executive Director of Business and Operations
ESSENTIAL DUTIES AND RESPONSIBILITIES may include but are not limited to the following. Other job-related duties may be assigned
A. PREPARE VENDOR INVOICES FOR PAYMENT by
- Distributing, organizing and prioritizing accounts payable mail
- Reviewing payables for completeness, payment of correct amounts, proper budget approval and proper budget codes for all expenditures
- Comparing items billed to purchase orders
- Entering invoices for payment into software program and posting invoices.
- Running reports and examining reports for invoice entry correctness and completeness.
- Releasing invoices for payment and properly writing warrants.
- Sorting and mailing warrants and organizing invoices with payment records.
- Preparing journal vouchers and balancing accounts.
- Preparing financial and statistical reports and filing records
- Maintaining and reviewing data for utility use
- Interacting frequently with purchasing department, warehouse, other accounts payable clerks, vendors, and district employees to identify and resolve problems
- Operate a variety of office machines
B. ASSIST OTHER DISTRICT PERSONNEL by
- Assisting with printing warrants for the high schools
- Assisting with bookkeeping functions as required
- Researching payable information
- Identifying and resolving problems
- Assisting others by explaining accounting procedures and use of the accounting software
C. MAINTAIN A COOPERATIVE AND PROFESSIONAL RELATIONSHIP WITH
STAFF AND SUPERVISORS by
- Establishing and maintaining effective and cooperative relationships with those contacted in the course of work.
- Communicating effectively with those contacted in the course of work.
D. MAINTAIN A HIGH LEVEL OF ETHICAL BEHAVIOR AND
CONFIDENTIALITY OF ANY INFORMATION REGARDING STUDENTS,
PERSONNEL AND ALL JOB RELATED MATTERS
E. TEAM RESPONSIBILITIES :
- Employee works independently with minimal supervision and performs as part of a team.

MINIMUM QUALIFICATIONS:
Education
- High School Diploma/GED
- Two years post secondary training preferred
Experience
- Three years experience working with accounts payable or other comparable experience preferred.
- Two years experience using a computer for data entry preferred.
Knowledge, Skills and Abilities
- Three years experience working with accounts payable or other comparable experience preferred.
- Two years experience using a computer for data entry preferred.
- Proficiency in use of MS Excel, Access, Novell, and Word preferred
- Proficiency with 10 key data entry preferred
- Ability to multi-task and to prioritize; organizational skills
- Ability to communicate effectively both orally and in writing
- Ability to understand and carryout oral and written instructions
- Ability to maintain files and records and prepare reports
- Ability to accurately perform mathematical calculations and verify computations
- Ability to adhere to legal mandates, Board Policies and operational guidelines
- Ability to type/keyboard at a net corrected speed of 40 words per minute
- Ability to establish cooperative working relationships
- Ability to manage stressful situations
- Ability to work independently and ability and willingness to function as a part of a team
- Ability to effectively manage time and responsibilities with minimal supervision
PHYSICAL DEMANDS: While performing the duties of this job, the employee is required to sit most of the time and to frequently walk, and stand. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environments.
Persons performing service in this position may occasionally exert 25 pounds of force to lift, carry, push, or pull. The employee must have dexterity of hands and fingers to operate computer keyboard and to perform routine, repetitive work.
WORK ENVIRONMENT: While performing the duties of this job, the employee regularly works inside. The employee must be able to meet deadlines with time constraints. The noise level in the work environment is usually moderate.
