General Statement of Job
Provides clerical and administrative support for the department director, staff, and students.
Specific Duties and Responsibilities
Essential Duties:
Independently schedules appointments.
Screens incoming calls and correspondence and responds independently when possible.
Assists department receptionist (by telephone and in person) reading and routing incoming/outgoing mail, composing routine correspondence, organizes and maintains file system/records, files all department documents, and develops patient handouts/forms for clinic use.
Prepares confidential correspondences, reports, and other complex document reports.
Greets scheduled and unscheduled patients and visitors.
Assists in preparing deposits for Business Office.
Coordinates with RN for purchase order requests and billing invoices for the department/clinic.
Supervises the photocopying of correspondence, clinic records and other printed materials for the department/clinic.
Maintains clinic operations in compliance with privacy practices and Family Educational Rights and Privacy Act (FERPA).
Assists with filing and clinic records retention.
Assists with database and spreadsheet files for the department and clinic.
Assists in managing office and clinic supplies in coordination with RN and full time administrative assistant.
Assists in entering charges for services to Banner.
Assists full time administrative assistant with clinic visit Excel spreadsheet and necessary reports.
Assists students with Med Proctor for immunization compliance.
Ability to perform all duties in an open-minded, non-judgmental, confidential manner.
All other duties as assigned.
Education, Experience, and Licenses
High school diploma or GED required. Medical office experience and bookkeeping skills preferred.

- Ability to multi-task while maintaining close attention to detail and timeliness of work production.
- Ability to work in a positive team-oriented manner with a variety of people.
