Position Title: Student Employment Coordinator

Job Description

The Student Employment Coordinator coordinates, maintains, and monitors the student employment programs in compliance with federal, state, and university policies and regulations; collaborates closely with Financial Aid and other HR functional areas as it relates to student employment matters. The Coordinator serves as the first point of contact for all student employee HR related actions and coordinates student employee engagement activities. The Coordinator coordinates and administers recruitment support for students and departmental supervisors while developing procedures and policies in support of student employment.

May supervisor student employees.

Essential Duties

  • Develops and implements processes, procedures, policies, strategic goals and objectives in support of the university's student employment program and the federal work study program including the federally mandated community service requirements.
  • Uses a data-driven approach to review and analyze current student employment practices. Participates in identifying, researching and implementing new and innovative employment opportunities. Reviews and makes recommendations around policy and procedure and works to implement changes that comply with regulation and best practices.
  • Serves as a liaison for students, faculty and staff regarding student employment policies and procedures.
  • Uses innovative solutions to connect students to applied learning employment opportunities. Works closely with student employment supervisors on development of position descriptions and essential job functions, ensuring that quality work experiences for students align with the University' applied learning principles.
  • Maintains the applicant tracking system for student employment positions to ensure job postings are up-to-date and monitored; utilizes the job posting portal to generate reports and analytics.
  • Reviews personnel actions for compliance with various laws, regulations and policies; codes personnel actions for processing; and maintains and updates records in the HRIS database.
  • Initiates background checks on applicable student hires and provides support on student new hire paperwork completion.
  • Reviews the monthly student payroll process to ensure accuracy in the earnings of students in the federal work study program.
  • Assists supervisors with disciplinary and termination actions of student employees.
  • Coordinates and presents outreach programming, student appreciation and recognition events, job fairs, and participate in university events to promote employment opportunities for students. Conducts training sessions for supervisors particularly on time and attendance for students and managing student employees.
  • Creates and/or updates the student employment website and other written materials.
  • Maintains competency and professional development through self-directed professional reading, developing professional contacts with colleagues, attending conferences/workshops, and attending required training.
  • Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Assists the Office of Human Resources with HR related events and tasks as needed; including, but not limited to: the employee on/off boarding programs, job description reviews, maintenance of the applicant tracking system, department events, as well as fielding HR-related questions on policies and procedures.
  • Works closely with Financial Aid and the Budget Office; tracking federal work study hours used and campus-wide department budget allocations.
  • Performs other duties of a similar nature or level

Knowledge, Skills And Abilities

  • Knowledge of trends, development and best practices in human resources with pre-employment screening, interviewing, and the hiring process.
  • Knowledge of federal and state employment laws and regulations; including federal work study compliance.
  • Strong analytical, technical and problem-solving skills; ability to identify deficiencies and suggest solutions.
  • Ability to perform repetitive duties and detailed work accurately.
  • Willingness and ability to learn new technologies.
  • Ability to effectively present to groups of various sizes.
  • Ability to manage and complete multiple projects in a timely and accurate manner.
  • Maintains a high level of confidentiality and the ability to show good judgement with a high level of discretion in handling personnel matters.
  • Team oriented and able to work autonomously.
  • Communication, interpersonal skills as applied to interaction with students, faculty and staff, and the general public, etc. sufficient to exchange or convey information and to receive work direction.

Required Qualifications

  • Associate's or Bachelor's degree in Human Resources or related field; or HR Certification
  • Minimum of two (2) years' experience in human resources, career development or other related areas.

Preferred Qualifications

Experience working in higher education.

Physical Demands

Sedentary work; exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
