ADMINISTRTIAVE SUPPORT COORDINATOR JOB DESCRIPTION
Job Summary:
Greet customers in a friendly, professional manner. Provide requested assistance to the sales and operations departments. Assist with basic accounting by processing accounts receivable transactions.
Key Responsibilities:
- Answer telephone, greet customers and guests with a welcoming, helpful approach.
- Assist walk-in customers with product orders.
- Must become knowledgeable in operating our computers and software programs. Must become proficient with Microsoft Word, Microsoft Excel, PowerPoint, etc.
- Must be flexible to respond to spontaneous requests for information by management while working well under pressure.
- Develop a good working rapport with sales / delivery teams while working on various tasks together.
- For a candidate without Accounting or Accounts Receivable experience, must be able to learn.
- Close end-of-day - Reconcile all prior day route tickets and route sales activity --- Process end of day before 12:00 PM daily. Print and distribute any necessary sales reports.
- Post any AR payments.
- Maintain route and driver / sales information.
- Maintain customer master files to ensure all customers have correct, current tax numbers, along with all other necessary information.
- Process customer tax notices and provide copies to the drivers / sales teams.
- Responsible for scheduling the conference room for meetings and ensuring it is neat and clean prior to use.
- Assign and track training for all employees.
Other Responsibilities:
- Assist Administrative Manager with various tasks.
- Order PPG.
- Order office supplies.
Requirements:
- Minimum of 4 years of accounting experience or related work.
- Must be computer literate with strong skills in Microsoft Office including Word, Excel, and Outlook.
- Must have excellent critical thinking, problem solving, and customer service skills while working under pressure.
- Valid Driver’s License.
- Must possess the ability to operate at a high-quality level, office technology, telephone, fax machine, copier, tablets, and computers.
- Maintains a positive and productive relationship between the organization and our customers.
