ADMINISTRTIAVE SUPPORT COORDINATOR JOB DESCRIPTION

Job Summary:

Greet customers in a friendly, professional manner.  Provide requested assistance to the sales and operations departments.  Assist with basic accounting by processing accounts receivable transactions.

Key Responsibilities:

  1. Answer telephone, greet customers and guests with a welcoming, helpful approach.
  2. Assist walk-in customers with product orders.
  3. Must become knowledgeable in operating our computers and software programs. Must become proficient with Microsoft Word, Microsoft Excel, PowerPoint, etc.
  4. Must be flexible to respond to spontaneous requests for information by management while working well under pressure.
  5. Develop a good working rapport with sales / delivery teams while working on various tasks together.
  6. For a candidate without Accounting or Accounts Receivable experience, must be able to learn.
  7. Close end-of-day - Reconcile all prior day route tickets and route sales activity --- Process end of day before 12:00 PM daily. Print and distribute any necessary sales reports.
  8. Post any AR payments.
  9. Maintain route and driver / sales information.
  10. Maintain customer master files to ensure all customers have correct, current tax numbers, along with all other necessary information.
  11. Process customer tax notices and provide copies to the drivers / sales teams.
  12. Responsible for scheduling the conference room for meetings and ensuring it is neat and clean prior to use. 
  13. Assign and track training for all employees. 

Other Responsibilities:

  1. Assist Administrative Manager with various tasks.
  2. Order PPG.
  3. Order office supplies.

Requirements:

  1. Minimum of 4 years of accounting experience or related work.
  2. Must be computer literate with strong skills in Microsoft Office including Word, Excel, and Outlook. 
  3. Must have excellent critical thinking, problem solving, and customer service skills while working under pressure.
  4. Valid Driver’s License. 
  5. Must possess the ability to operate at a high-quality level, office technology, telephone, fax machine, copier, tablets, and computers. 
  6. Maintains a positive and productive relationship between the organization and our customers.
