As we grow, we are looking for a dedicated Selections Coordinator & Purchaser to join our team. This is a brand-new position, and the right candidate will play a pivotal role in shaping the processes and systems for selections management and procurement.
Position Overview:
The Selections Coordinator & Purchaser will guide clients through the entire selections process, from conception to completion. They will ensure that all chosen materials, finishes, and fixtures align with the client's vision and are ordered, tracked, and delivered on time. This role requires strong organization, attention to detail, excellent communication skills, and a passion for design and construction.
Key Responsibilities:Client Selections & Design Coordination
- Work closely with clients to help them make informed decisions about selections (fixtures, finishes, appliances, flooring, cabinetry, etc.).
- Attend initial client meetings, offering guidance on materials and finishes based on budget and style preferences.
- Collaborate with designers, architects, and project managers to align selections with the overall vision and scope of the project.
- Ensure all selections are properly documented in Materio and exported to Buildertrend for tracking.
- Assist clients in navigating the showroom experience, coordinating vendor visits when necessary.
Project & Site Coordination
- Attend on-site walkthroughs with project managers to ensure that selected materials align with the build process.
- Verify that all selections are accurately reflected on architectural plans and within construction timelines.
- Monitor job sites to confirm that materials arrive as expected and are installed correctly.
Procurement & Purchasing
- Oversee the ordering process for all selection materials, ensuring accurate quantities and specifications.
- Manage vendor relationships, negotiate pricing, and track lead times.
- Coordinate material deliveries to ensure they arrive at least three days before installation.
- Handle any order discrepancies, backorders, or damaged materials, working with vendors to resolve issues efficiently.
- Maintain an organized database of suppliers, costs, and availability for commonly used materials.
Process Development & SOP Creation
- Establish standard operating procedures (SOPs) for selections and procurement, documenting best practices and workflow efficiencies.
- Develop checklists and workflows to streamline the selections process for future team members.
- Collaborate with the leadership team to refine the selections and purchasing process as the company grows.
Ideal Candidate:
- Experience: 2 years in selections coordination, interior design, procurement, or construction-related purchasing.
- Degree: Bachelor's degree in Construction Design, Interior Design, Architecture, or a related field (Required).
- Knowledge of Construction & Design: Familiarity with materials, finishes, and the custom homebuilding process.
- Tech-Savvy: Comfortable using Buildertrend and Materio to track selections and procurement.
- Detail-Oriented: Strong organizational skills to manage multiple projects, deadlines, and budgets.
- Strong Communicator: Able to clearly convey information to clients, vendors, and the internal team.
- Problem-Solver: Capable of resolving selection and procurement challenges efficiently.
- Self-Starter: Since this is a new role, the ideal candidate must be proactive in developing processes and improving workflows.
