AR / AP Specialist

Job Description: AR/AP Specialist

Key Responsibilities:

• Accounts Receivable:
• Generate, send, and track invoices to customers for goods or services.
• Monitor customer accounts, follow up on overdue payments, and resolve billing discrepancies.
• Record and reconcile incoming payments, ensuring accurate posting to ledgers.
• Prepare AR reports, such as aging reports, to track cash flow and outstanding balances.
• Communicate with clients regarding payment terms, inquiries, or disputes.
• Accounts Payable Assistant:
• Process and verify vendor invoices, ensuring accuracy and compliance.
• Code invoices and schedule payments, obtaining necessary approvals.
• Reconcile AP accounts, matching invoices to purchase orders and resolving discrepancies.
• Assist with expense report verification and payroll support, if required.
• General Duties:
• Assist in maintaining accurate and organized financial records for both AR and AP.
• Assist with month-end closings.
• Ensure compliance with internal policies, tax regulations, and accounting standards.
• Collaborate with other departments (e.g., sales, procurement) to resolve issues.
• Use accounting software to manage transactions.

Qualifications and Skills:

• High school diploma required; associate’s or bachelor’s degree in accounting, finance, or related field preferred.
• 2-3 years of experience in AR, AP, or general accounting a must.
• Proficiency in accounting software and Microsoft Office (especially Excel).
• Strong attention to detail, organizational skills, and ability to meet deadlines.
• Excellent communication skills for interacting with vendors, clients, and internal teams.
• Analytical mindset with problem-solving abilities to resolve discrepancies.
• Knowledge of basic accounting principles and financial processes.

Work Environment:

• Full-time 100% in office
• Reports to Controller

Job Type: Full-time

Pay: $21.00 - $24.00 per hour

Expected hours: 40 per week

Schedule:

• 8 hour shift
