What are the responsibilities and job description for the Intake Receptionist position at Modoc Nation Behavioral Health?
Duties & Responsibilities:
1. Monitor entrances, includes gates if applicable. Greet & assist clients, & guests in a positive & professional manner. Obtain confidentiality assurance signatures on sign-in page for all visitors (including contractors & etc.).
2. Answer & properly route phone calls to the appropriate staff and / or program. Direct flow & functions of clients.
3. Screen callers for program eligibility & complete/track initial referral form for all callers. Establish client in EMR as appropriate.
4. Schedule intake assessments, prepare paperwork for new/returning clients & assist with completion prior to appointment.
5. Obtain client photograph along with copies of client ID, SS card, CDIB/tribal enrollment card, insurance cards, etc. When collecting insurance cards, verify policy holder, if not client obtain info – Name, DOB, SS #, & relationship to client.
6. Ensure complete client records by auditing, scanning, & uploading all required documentation into EMR. Secure PHI & maintain client confidentiality.
7. Check Medicaid daily for all clients on schedule, communicate coverage changes to billing department & primary L/BHP.
8. Alert billing & quality assurance dept when new clients are scheduled to ensure payor source & audits are addressed. Track that a new payor is assigned to all clients.
9. Schedule clients for billing dept consult if extra coverage is needed/if client needs assistance with SoonerCare application.
10. Obtain Financial Assistance Plan documentation & complete application for clients who have no pay source. Send to billing department to determine if client qualifies for assistance.
11. Provide data & information to Business Department as requested / needed.
12. Contact clients to update changes to emergency contacts, insurance information, & legal documents quarterly.
13. Collect, track & scan group sign-in log sheets to appropriate location for all programs.
14. Assist with managing client appointments, manage & modify providers schedules as per directives.
15. Schedule medical appointments as per directives. Make reminder calls for medical appointments the day before scheduled.
16. Request due dates for treatment plans & intakes from L/BHPs to develop annual paperwork & treatment plan updates/addendums.
17. Alert L/BHP or Support Staff when client arrives to facility.
18. Alert necessary supervisor to any medical/clinical client emergency. Initiate/complete incident report forms as needed.
19. Assist clients with inquiries & provide referrals & community resources as needed.
20. Take payments & develop & provide receipts as necessary & appropriate.
21. Complete release of information (ROI’s) & track expiration dates for renewal.
22. Scan, e-mail, & fax documents. Place documents on appropriate letterhead. Route incoming faxes to appropriate staff.
23. Check & distribute mail daily.
24. Maintain vehicle reservations & schedules. Assist in group scheduling & transportation coordination.
25. Keep track of all debit / credit cards & keys.
26. Track supplies & communicate needs to purchaser. Check in Amazon orders, reconcile with list, & route to appropriate dept.
27. Assist with program activities as needed.
28. Maintain clean / neat lobby, break rooms, & other common areas.
29. Ensure compliance with HIPAA & other confidentiality regulations in all aspects of job duties.
30. Staff & support outreach activities as required.
31. Attend All – Staff meetings & all other meetings as required.
32. All other duties as assigned.
Qualifications:
1. Must have a high school diploma or GED & a valid driver’s license.
2. Work experience with computer programs including Word & Excel.
3. Prior work experience in a medical or behavioral health office preferred.
4. Ability to pass pre-employment urine drug screen & background check.
Supervision: This position operates under the direct supervision of the Clinical Compliance Officer.
Compensation: $31,200 – $47,000 annual salary plus fringe benefits with the opportunity for biannual bonus.
Schedule: This employee shall maintain regular business hours (40 hours per week).
Location: This position will primarily operate from Lost River Treatment Center, though travel may be required to off – site locations.
