Job Title: Inside Sales Assistant
Job Summary: We are seeking a motivated and detail-oriented Inside Sales Assistant to join our dynamic sales team. The Inside Sales Assistant will support our sales representatives, manage customer inquiries, and ensure accurate and timely processing of sales orders and quotations. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Inside Sales Support: Assist in the sales process by maintaining customer accounts, providing product information, and handling inbound sales inquiries.
- Rep Coverage: Provide coverage for sales representatives when they are off or unavailable, ensuring a seamless customer experience.
- Quote Sheets: Prepare accurate quote sheets for customers based on their needs, product availability, and pricing.
- Price Updates: Ensure the timely update and distribution of pricing information to customers, ensuring accuracy and consistency.
- Loaned Equipment Updates: Maintain and update loaned equipment records in Lube Files and DM2, ensuring accurate inventory and billing.
- Loaned Equipment Forms: Process loaned equipment forms, ensuring proper documentation and tracking for loaned items.
- Aged Accounts: Monitor and assist in managing aged accounts, working with the sales team to follow up on outstanding payments.
- Cross References: Provide cross-referencing services for customers to ensure they receive the correct parts and products.
- Stock Checking: Regularly check and verify stock levels to ensure product availability and prevent order delays.
- Order Status Checks: Track and provide updates on order status to customers, ensuring prompt delivery and addressing any issues.
- CRM Reports and Updates: Maintain and update customer information and sales activities in the CRM system to track interactions and sales progress.
- Customer Incoming Call Support: Respond to customer inquiries via phone, email, and other communication channels, providing helpful and timely assistance.
- Order POS Materials: Order and manage point-of-sale (POS) materials to support sales efforts and promotional activities.
- Chevron CO-OP: Coordinate with customers regarding Chevron CO-OP programs, ensuring compliance and assisting with reimbursement requests.
- Report Running: Generate and run various reports, such as sales performance, inventory levels, and order status, to support decision-making and business analysis.
Qualifications:
- Proven experience in inside sales, customer support, or a related field.
- Strong communication skills, both verbal and written.
- Proficiency in MS Office Suite and CRM software (e.g., Salesforce, Zoho).
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Team-oriented with a positive and proactive attitude.
- Knowledge of sales processes and basic product knowledge is preferred.
