Job Summary
Medical Administrative Assistant performs tasks specific to the healthcare industry and general administrative duties. General tasks may include answering the phone, greeting patients and visitors, ordering supplies, sorting mail, and bookkeeping. Tasks that might require specialized knowledge includeupdating and maintaining patient medical records, processing insurance forms, scheduling patient appointments ormedical procedures and coordinating lab services. They also assist physicians or mid-level practitioner with various tasks including performing ECG, Blood Draws, assisting with vital signs preparing for procedures, giving injections, changing catheters, giving medications through catheter, and other patient care duties.
Responsibilities
Registers Patients
Greets all customers in a cheerful, professional manner. Uses standard greetings set forth bytraining. Attends all customer-service training and demonstrates customer service excellence at all times. Interviews patients or their representatives to obtain/verify demographic and financial insuranceinformation. Pre-Registers the patient on the Hospital System, selecting the appropriate patient type,program, location and insurance plan code for the visit. Enters any pertinent information related to the patient's visit on the Visit Screen if applicable. Verifies coverage according to master file for all patients. Gathers all data related to the patient’s Medicare Secondary Payer Survey (MSP) per HCFAregulations for Medicare patients, and provides that information for billers. Always obtains signature of patient, or responsible party, giving consent for treatment/testing, releaseof medical information, assignment of insurance benefits and financial responsibility, and other requiredpatient information (i.e. HIPAA, Living Wills, Patient Rights, etc). Consistently verifies all demographic information, taking full responsibility to make corrections. Advises patients of any insurance deductibles, private room differences or self-pay deposits Documents in patient office record any conversations with the patient concerning his/her ability to payor any other pertinent information to the visit. Refers all Self Pay patients to the Financial Counselor to make payment arrangements. When theFinancial Counselor is unavailable, provides the patient with business card for follow up. Informs the patientor his/her representative that a Financial Counselor will be in contact. Ensures all paperwork is compliant and that proper forms are utilized.
Chart Preparation
Ensures accurate patient information (insurance, demographics, contacts, etc.) is prepared inadvance and contained in the charts. Ensures charts are ready and accurate within the timeframe required by appropriate patient care. Consistently prepares charts in accordance with department protocols. Files charts appropriately in a timely manner. Prepares charts and/or packets Clinic by gathering and labeling all necessary forms to ensurenursing personnel have the appropriate materials for documentation. Reviews pre-admission testingdocuments for completion; files in appropriate area.
Communication and Collaboration
Contacts referring physician's office, when necessary, to verify/update patient information then inputsthe data into the hospital system, ensuring accurate and complete information. Contacts referring physician's office to obtain additional information as needed prior to the patient’svisit. Provides assistance to patients/physician office personnel by providing an overview of variousprocedure and informing them of appointment times and preregistration times. Communicates cancellations to appropriate personnel. Provides necessary information to all departments within the hospital system. Contacts PatientAccess Representative to verify insurance information on all discrepancies identified in Patient Registration. Collaborates effectively with nursing units, nursing resource and physicians (external and internal) inorder to gather pertinent information and/or share relevant patient information. Notifies appropriate department (i.e.Cardiology, Anesthesia) of patient needs. Directs all incoming phone calls for the department by transferring the caller to the appropriatepersonnel or, if necessary, documenting messages to ensure efficiency throughout the department. Greetsand directs all visitors and patients to appropriate personnel or department ensuring all scheduledappointments arrive promptly.
Supports Department(s)
Ensures safety and security procedures are followed. Responds to all security-related alarms andassists in determining the cause for the alarm. Documents messages and gives to appropriate area/staff. Maintains office supplies by completing requisitions and sending to appropriate departments. Performs minor preventative maintenance on all equipment within the department.
Performs Other Duties as Required
Attends mandatory in-services, staff meetings, and actively participates in self-education. Completes all required competency assessments on time. Maintains required job knowledge (e.g.licensure and credentials, continuing education etc.). Performs other duties as required.
Knowledge, Skills & Abilities
Light Work: Frequent lifting and/or carrying of objects weighing up to10 lbs with a maximum lifting of 25 lbs.
Two years of clinical experience in office and/or hospital setting preferred.Medical Terminology and Clinical Assistant skills preferred. Experience with computers and answering multi-line telephonesdesirable.
