Job Description:
We are looking for a detail-oriented and highly organized Office Manager to manage daily office operations for our client. This role reports to the Deputy Chief of Staff and serves as the point of contact for employees, clients, and visitors. You will ensure that the office environment is productive, efficient, and supportive of the company culture.
Day-to-Day Responsibilities:
- Oversee daily office operations and manage office workflow.
- Coordinate meetings, events, and offsite catering (including Connectivity Days and other internal meetings).
- Supervise on-site IT/desktop support staff and manage tech-related issues.
- Support multiple teams (e.g., NYC Site Spirit, Site Volunteer, Facilities, etc.) with site engagement and upkeep.
- Maintain office inventory, ordering supplies as needed.
- Manage relationships with external vendors and building management for repairs and issues.
- Organize office systems, ensuring easy access to documents and supplies.
- Prepare and process administrative paperwork, such as invoices and purchase orders.
- Assist with onboarding new employees and contractors, including system setups and access provisioning.
- Perform general administrative duties such as answering phones, receiving mail, and managing office correspondence.
- Provide backup support for other team members when needed.
Must-Haves:
- 5 years of office management or administrative experience, preferably in a fast-paced environment.
- Strong organizational and multitasking abilities with attention to detail.
- Bachelor's degree in Business Administration, Management, or related field.
- Proficiency in Microsoft Office Suite and common office equipment (e.g., printing, binding).
- Strong interpersonal skills and ability to work across teams.
- Excellent written and verbal communication skills.
- Proactive and self-sufficient problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information.
