What are the responsibilities and job description for the Referral Coordinator position at Montana Oral Surgery & Dental Implant Center?
Dr. Peretti, Dr. Fleischmann and the Montana Oral Surgery team are looking for a warm, professional, and career-minded team member to join our front office admin team in our Butte location.
The team member’s primary role will be the consistent point person to coordinate care for incoming patient referrals in this location to ensure timely response to the referral and continuity of care for patients. They will also be responsible for backing up the team member at the front desk area as well as coordinating with the surgical team and doctor in this location. Exceptional organization and communication skills are essential.
The person will be the face of the practice when greeting patients on the phone or in person. An emphasis on making an amazing first impression is key. They manage the care of patients referred to us and protect our relationship with referring offices.
Candidates must be detail oriented and able to multi-task, with a pleasant personality and excellent phone manners. Applicants must enjoy working with a team, but also be able to manage time and duties independently. Training will be done in our Bozeman, and potentially Helena, location. Full training for this role is available for the right candidate!
Our practice offers 401k and medical insurance. Dental/medical scheduler/receptionist experience preferred. Experience with dental insurance highly beneficial. Applicants must also be punctual, reliable and team players with a positive attitude. We are happy to train the right person!
Responsibilities include but are not limited to:
- answering phones
- Promptly responding to patient referrals with phone, email and text correspondence
- Managing letter correspondence with referring office as needed
- Tracking and following up on patients in the care process to ensure treatment is completed
- entering patient information into practice management software
- taking accurate and detailed messages
- Reviewing insurance benefits and calculating accurate out of pocket cost for care
- back up to: preparing/pulling/filing charts; scheduling/confirming appointments; entering charges/taking payments; greeting and checking in patients; collecting payments and managing money responsibly
- Assisting the surgical team as needed in sterilization and other clinical duties to ensure quality and timely care is given.
