What are the responsibilities and job description for the WWAMI Program Coordinator I position at Montana State University?

WWAMI provides education at MSU Bozeman for first and second year medical students in partnership with the University of Washington School of Medicine and the states of Washington, Wyoming, Alaska, Montana, and Idaho. Over fifty years of collaboration and innovation, all in the service of educating the future physician workforce. This position reports to the Assistant Director and assists with office duties. The main roles of this position include assisting faculty, providing WWAMI student support and assisting in event coordination.

Duties and Responsibilities
  • Manage email and phone inquiries and serve as one of the first points of contact for prospective students.
  • Assist in the planning and management of events serving prospective and current WWAMI students.
  • Develop and maintain positive relationships with a wide variety of campus offices at Montana State University and University of Washington School of Medicine.
  • Serve as a proctor for student assessments required by the University of Washington School of Medicine.
  • Assists in insuring compliance with school, college, university, state and/or federal policies, procedures, and/or guidelines.
  • Assists in the design, creation, and maintenance of WWAMI and Montana Body Donation Program (MBDP) newsletters, databases, webpages, and brochures.
  • Manage multiple projects concurrently.
  • Assist in Foundations of Clinical Medicine hospital tutorial patient recruitment.
  • Perform miscellaneous duties in support of the WWAMI program.
  • Assist the Director and Assistant Director with special projects, as needed.

Required Qualifications – Experience, Education, Knowledge & Skills
  • Bachelor’s degree or post-secondary education or an equivalent combination of education and/or experience.
  • Demonstrated excellent written communication and customer service skills.
  • Demonstrated competence in organizing and prioritizing workloads, functioning independently using good judgment, initiative, and discretion.
  • Demonstrated ability to assist in the planning and facilitation of events and programs.
  • Demonstrated competence using a database, word processing, e-mail, and internet software and the ability to accurately and efficiently perform data entry.


Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Knowledge of university procedures and policies or previous experience working in a higher education setting.
  • Experience in editing and management of web pages and access database.

  • Have effective interpersonal, verbal and written communication skills including the ability to collaborate successfully with faculty, staff, and students.
  • Demonstrated ability developing and maintaining detailed, accurate record keeping systems.
  • Knowledge of and demonstrated ability accurately following administrative policies, requirements, and procedures.
  • Consistently exercise initiative and good judgment.
  • Manage sensitive and confidential situations and information appropriately.
  • Accomplish many dissimilar tasks in an “open door” environment, with regular interruptions, while maintaining a pleasant demeanor and positive attitude.
  • Possess a commitment to health and/or medical education.
  • Ability to establish and maintain effective working relationships with co-workers and the public in a team-oriented environment; ability to represent WWAMI to others in a professional and courteous manner.
