Position Title: Executive Assistant
Department: Administration
Reports to : Vice President & Chief Medical Officer
Salary: $30 - $40 per hour
- Job Summary: Provides superb administrative support and assistance to the Vice President & Chief Medical Officer and reporting areas, including credentialing areas. Responsible for performing advanced, diversified and confidential Executive Assistant duties requiring broad and comprehensive administrative skills and experience.

A Minimum of 4 years’ work experience as an Executive Assistant, preferably in a hospital setting. |

JOB SPECIFIC COMPETENCIES:

- Maintains a calendar of appointments and meetings for the VP & Chief Medical Officer. Regularly reviews the calendar for competing meeting requests and communicating availability and facilitating resolution of any conflicts.
- Routes all mail delivered to the office.
- Facilitates conference and virtual meetings; scheduling, sending invites, managing the meeting platform (i.e. Zoom, Teams, etc.) and starts the meeting.
- Prepares Emergency Department on-call schedule.
- Maintains files and confidentiality of information.
- Composes correspondence, memos, and reports as required. Takes shorthand, dictation and transcription of minutes to meetings as requested.
- Responds to calls and visits from patients/families.
- Responds to all issues presented to the Vice President & CMO’s office by doctors, hospital departments, Foundation, Corporation, Board of Trustees.
- Maintains approval of DynaFios time records of MDs.
- Provides significant assistance to Chair, Board of Trustees and various Board Committees/members.
- Provides administrative and secretarial support for the Directors of Orthopedics and Pediatrics, and other departments identified by CMO.
- Updates and maintains physician quality assurance files.
- Assists with special projects as required within the Medical Staff Administration and Credentialing Areas.
- Maintains Doctor’s lounge supplies.
- All other duties as assigned
