Job Title: Administrative Assistant
Overview:
We are looking for a detail-oriented and organized Administrative Assistant to join our team. An Administrative Assistant at our preschool plays a critical role in ensuring the smooth operation of the preschool's daily activities. This position supports the administrative functions, facilitates communication between staff and parents, and contributes to a positive and efficient learning environment.
Responsibilities:
- Greeting parents and children.
- Assist with office tasks such as filing, data entry, and order entry to ensure efficient operations.
- Maintain organized records and files both in physical and electronic formats.
- Collaborate with team members to facilitate effective communication within the office.
- Attend meetings and complete meeting minutes
- Strong organizational skills with the ability to multitask and prioritize workload effectively.
- Excellent communication skills both written and verbal.
- Ability to adapt to changing priorities and work well under pressure.
- Proficiency in software applications such as Microsoft Office Suite (Word, Excel, Outlook).
- Answer phones, manage incoming and outgoing mail, and handle email correspondence.
- Maintain and organize student and staff records, ensuring confidentiality and accuracy.
- Order and manage office and classroom supplies.
- Serve as the primary point of contact for parents, addressing inquiries and providing information.
- Assist in coordinating and communicating preschool events, meetings, and activities.
- Prepare and distribute announcements, and other communication materials.
- Assist with the scheduling of parent-teacher conferences, school tours, and special events.
- Support the preschool director and teaching staff with administrative tasks as needed.
- Assist in the enrollment process, including maintaining waitlists and processing applications.
- Maintain records related to health and safety, including emergency contact information and medical records.
- Assist in implementing and monitoring safety protocols and procedures.
Qualifications:
- Previous experience in Child Care Education
- Knowledge of Title 22 and Title 5
- Proven experience in an administrative role or similar capacity is preferred.
- Strong organizational skills with the ability to multitask and prioritize workload effectively.
- Knowledge of office procedures and familiarity with office equipment such as phone systems.
- Proficiency in data entry and record keeping.
- Excellent communication skills both written and verbal.

Pay: $18.00 - $21.00 per hour
