WHO WE ARE LOOKING FOR
OHR is seeking an experienced administrative professional to serve as Assistant to the Deputy Director. The Assistant to the Deputy Director will be responsible for direct administrative and operational support to the OHR Deputy Director, and management and coordination of divisions that fall within the Deputy’s portfolio.
What You'll Be Doing
The Assistant to the Director will:
- Handle highly sensitive and confidential tasks and collaborate with others to research and prepare responses to a variety of inquiries from staff and the public, grievances, and other OHR matters.
- Provide high-level administrative support to the Deputy Director, including managing complex calendars, scheduling meetings, coordinating travel arrangements, and preparing correspondence.
- Serve as the primary point of contact for the Deputy Director, screening calls and visitors, and responding to inquiries with professionalism and discretion.
- Prepare and edit reports, presentations, and other documents, ensuring accuracy and timely completion.
- Manage and maintain confidential files and records, both physical and electronic.
- Coordinate and track projects and initiatives related to the Deputy Director's areas of oversight, including Classification, Compensation, Recruitment, and Training.
- Collaborate with OHR leaders and other administrative professionals to streamline processes and improve efficiency.
- Assist in the organization and execution of departmental events, programs and activities.
- Facilitate communication and collaboration between the Deputy Director and various OHR divisions, including Strategic Communications, Office of Medical Services, Records, Health Benefits, Equal Employment Opportunity, and Stress Management.
- Research and assist in problem-solving by gathering information and providing support.
To be a successful Administrative Specialist, you must:
- Have demonstrable, successful experience with managing the operations of a busy department/office and supporting a senior official.
- Possess strong organizational and time-management skills.
- Have ability to prioritize tasks effectively and manage multiple, often competing, responsibilities concurrently.
- Exhibit excellent verbal, presentation, and written communication skills. May be asked to submit a writing sample.
- Demonstrate the ability to safeguard confidential information and to handle sensitive issues with discretion and professionalism.
- Have ability to communicate clearly and concisely with both internal and external stakeholders.
- Pay meticulous attention to detail in all tasks, ensuring accuracy and precision.
- Be resourceful in finding information and solving problems independently.
- Possess proficiency in relevant software, including Microsoft Office Suite.

This position requires the ability to attend meetings or perform work at locations outside the office.

Minimum Qualifications
Administrative Specialist I
Experience: One (1) year of administrative experience related to, executive administrative support including business analysis or research and analysis.
Education: Graduation from an accredited college or university with a Bachelor’s Degree.
Equivalency: An equivalent combination of experience and education may be substituted.
Administrative Specialist IIExperience: Two (2) years of administrative experience related to, executive administrative support including business analysis or research and analysis.
Education: Graduation from an accredited college or university with a Bachelor’s Degree.
Equivalency: An equivalent combination of experience and education may be substituted.
