The Montverde Academy Registrar is responsible for managing and maintaining accurate student records, overseeing enrollment and scheduling, and ensuring compliance with academic policies and regulations. This role requires proficiency in Veracross, the school's Student Information System (SIS), and close collaboration with administrators, faculty, students, and families. The Registrar plays a critical role in supporting student success by ensuring seamless record-keeping and academic operations. This position works a 12-month schedule.
Essential Responsibilities
Student Records
- Maintains accurate student records in our student information system Veracross, including processes related to course enrollment
- Maintains permanent records for Montverde Academy alumni and all withdrawn students
- Fulfills requests for student and alumni records, transcripts, and apostilles.
- Work closely with the counseling and college advising offices to support student transcripts and applications.
- Works with the Business and Enrollment Management offices to determine official enrollment numbers
- Communicates closely with the Business and Enrollment Management offices regarding potential student withdrawals, financial holds, etc.
- Works with various departments when a student withdraws from Montverde Academy (Dean of Students, Business Office, IT, Development, Athletics, etc.) to process changes in Veracross and related systems
- Develops and maintains familiarity with the articulation agreements between Montverde Academy and its Dual Enrollment partners, verifies that students meet eligibility requirements, and includes these grades on the students’ transcripts.
- Develops and maintains familiarity with the AP program, graduation requirements, and FHSAA/NCAA eligibility.
Student Scheduling
- Updates course records annually in Veracross
- Works with the Upper School deans and school counselors to coordinate student course recommendations and requests
- Works with Upper School deans and Dean of Faculty to develop and implement a master schedule based on planned courses, student requests, and staffing and room availability
- Assists Upper School deans and school counselors in generating individual schedules for students in Veracross
- Makes schedule changes as needed throughout the academic school year and maintains records of schedule changes
- Creates printable schedules as needed.
Grade Reporting
- Sets up marking periods, report cards, and transcripts annually
- Provides school offices with appropriate statistical reports on grade distributions and reports related to individual student performance at certain thresholds
- Provides a variety of reports throughout the year, including transcripts and credit analyses
- Enters grade changes in alignment with official school processes
- Publishes report cards
- Assists Dean of the Upper School and college counseling in reporting on student fulfillment of graduation requirements
- Creates transcripts for all graduating seniors
Data Management
- Ensures contact information for current students and families is accurate within Veracross Research and Data Analysis
- Responds to internal and external data requests as needed
Canvas & Educational Technology Support
- Collaborate with the Director of Innovation and Educational Technology to ensure that all courses are accurately entered into Canvas, reflecting updates from Veracross.
- Notify the Director of Innovation and Educational Technology of any course changes, student schedule adjustments, or faculty assignments to ensure Canvas remains up to date.
- Support faculty and staff in understanding how Canvas and Veracross integrate for course management and student records.
Experience and proficiency in scheduling software (Veracross).- Experience with Canvas is desirable.

Physical Requirements:
- While performing the duties of this job, the employee is regularly required to stand/sit for extended periods of time.
