Job Summary
The Payroll Specialist will process the organization’s multi-state payroll, ensuring that payroll is processed on time, accurately, and in compliance with Federal and state regulations.
States AZ, NV, CA, TX, TN, GA, and FL
The role is responsible for a wide variety of record keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording payroll deductions, processing commissions, processing terminations, maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management. Works as a member of the Payroll team, partnering on all payroll related matters to ensure the smooth and timely execution. The is individual needs to be someone who can work well in a fast-paced, high volume, dynamic environment who can deal with sensitive and highly confidential information in a professional, productive, and organized way. Must be an effective communicator and adaptable to change.
Key Duties and Responsibilities
- Serve as overall payroll point of contact ensuring consistent execution of policies and practices.
- Managing bi-weekly calculation and disbursement of payroll, including garnishments, benefits and taxes consistent with applicable wage and hour laws
- Ensuring the processing of transfers, promotions, terminations, PTO, leave, etc., in a timely and accurate and timely fashion.
- Calculating payroll liabilities for employee federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.
- Balancing payroll accounts by resolving payroll discrepancies.
- Providing payroll and employee portal information by answering questions and requests.
- Maintaining payroll guidelines by assisting in establishing and updating policies and procedures.
- Maintaining employee confidence and keeping information confidential.
- Sharing knowledge, training, and coaching “payroll staff,” including Office Admins and payroll support staff
- Work with Payroll leadership toy review and analyze current payroll and tax procedures to assure best-practices.
- Auditing I-9s, W-4s, payroll balance sheets, YTD earnings, etc.
- Communicating all exceptions to time sheets, onboarding, or other employee activity to supervisor and other Sr. Management as appropriate
- Ensuring HRIS/Payroll systems are properly set-up and maintained.
- Preparing relevant management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)
- Balancing and reconciling all disbursement data to ensure accurate GL allocations and recording of costs.
- Reviewing all work processed through the A/P system and addressing discrepancies.
- Assisting in resolving issues and conflicts related to Payroll, A/R, A/P, etc.
- Collecting w-9s, credit apps, IC agreements from vendors, suppliers and contractors.
- Maintaining immaculate and accurate records relating to Payroll.
- Performing other duties and tasks as assigned.
Qualifications
Qualifications: Knowledge, Skills & Abilities
- · 5-7 years of Payroll management and general accounting experience required.
- · Expert in Paycom HR/Payroll Software System or similar Payroll System
- · Bi-lingual Spanish (Highly desired)
- · California Payroll law required
- · HR, Payroll, and Accounting experience in a retail, agriculture or related environment highly preferred.
- · Aptitude in decision-making, working with numbers, and collecting, analyzing, and validating data.
- · High level of Excel knowledge including data mining, creating pivot tables, linking multiple spreadsheets, and experience with other MS Office applications including Word.
- · Business acumen including work with A/P, A/R income statements, balance sheets, etc.
- · Outstanding time management, organizational skills, attention to detail, and follow through required.
- · Strong communication skills to effectively interact with all levels of internal and external contacts.
- · Ability to work professionally and demonstrate leadership with all levels of management.
- · Self-motivated and able to work with minimal supervision.
- · Team-oriented and works well in a collaborative environment.
- · Ability to manage multiple assignments, activities and projects.
- Other duties as assigned
Education
Four-year degree in accounting, finance, business administration, or related field (or equivalent knowledge gained through formal education, specialized training, or additional job experience)
Physical requirements/Working Conditions
While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
