In this role, you will be an integral part of our operations, ensuring smooth communication and coordination between our members, vendors, and team.
Position Overview:
As a Member Support Coordinator, you will be responsible for managing various administrative tasks, maintaining member relations, and supporting event logistics. This is an excellent opportunity for someone who is detail-oriented, organized, and enjoys providing exceptional customer service in a fast-paced environment.
Key Responsibilities:
- Inventory & Supply Management: Oversee and manage inventory of office supplies and marketing materials, ensuring timely replenishment.
- Positive Work Environment: Help create and maintain a welcoming, positive, and professional atmosphere within the office.
- Member Contract Management: Prepare and maintain new member contracts, ensure files are up to date, and manage the overall member database.
- Team & Vendor Coordination: Collaborate effectively with team members, vendors, and members to coordinate activities and ensure smooth operations.
- Data Entry & Management: Input and maintain accurate records in our information management system, including contacts, meeting notes, follow-up actions, and reports.
- Database & File Maintenance: Manage and update database and spreadsheet files, ensuring the accuracy and accessibility of all information.
- Calendar Management: Organize and manage shared calendars for team members and events.
- Event Logistics: Coordinate logistics for training and networking events, including booking accommodations, confirming attendance, preparing materials, and maintaining event rosters.
Work Schedule:
- Monday to Friday, standard office hours.
- Note: During training weeks, additional hours past 5 PM will be required.
Qualifications:
- Proven experience in an administrative or support role, preferably in a member-facing capacity.
- Strong organizational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with database management systems.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Positive, proactive, and professional attitude.
- Previous event coordination experience is a plus.
