Job Overview
The Office Administrator is responsible for overseeing daily office operations, ensuring efficiency in administrative processes, and supporting staff with clerical and organizational tasks. This role includes managing office supplies, handling correspondence, scheduling meetings, maintaining records, developing forms and other functions as needed. The Office Administrator plays a key role in ensuring a smooth and professional work environment while complying with company policies and industry regulations.
Duties
- Maintain an organized and efficient office environment by managing supplies, equipment, and administrative systems.
- Schedule meetings, appointments, and travel arrangements for executives and staff as needed.
- Coordinate conference room bookings and office event logistics.
- Prepare agendas, minutes, and materials for meetings and distribute necessary documents.
Monitor staff schedules and ensure proper calendar management for leadership
- Serve as the first point of contact for visitors, clients, and vendors, providing professional and courteous assistance.
- Manage incoming and outgoing communications, including phone calls, emails, and mail distribution.
- Maintain confidential records and filing systems, ensuring compliance with organizational policies and regulatory requirements.
- Assist with document preparation, report generation, and data entry as needed.
- Ensure office equipment (printers, computers, fax machines) is maintained and coordinate repairs when necessary.
Qualifications
- High school diploma or equivalent (Required); Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field (Preferred).
Knowledge, Skills & Abilities
- Strong organizational and multitasking skills, with the ability to manage multiple priorities effectively.
- Excellent verbal and written communication skills for professional interactions with staff, clients, and vendors.
- Ability to handle confidential information with discretion and integrity.
- Detail-oriented with strong problem-solving and time-management abilities.
- Ability to work independently while also being a team player in a fast-paced environment.
- 2 years of experience in an administrative, office management, or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
- Experience with basic bookkeeping, payroll assistance, or HR administration (Preferred).
