Our KC client is looking for a Part-Time Event Project Coordinator to lead the planning and execution of a premier industry event. This role offers the opportunity to take ownership of a high-profile annual conference, working closely with stakeholders to craft an engaging, educational, and impactful experience. This contract opportunity is ideal for a detail-oriented project manager who enjoys bringing large-scale events to life!
This assignment is expected to run through the end of 2025, working approximately 25 hours per week in a hybrid environment.
Responsibilities:
- Lead the planning and execution of an annual industry conference and related workshops, ensuring a high-quality learning experience.
- Collaborate with internal teams to define conference objectives.
- Develop a comprehensive agenda, including keynote speeches, breakout sessions, workshops, and networking events.
- Manage the keynote speaker selection process, soliciting proposals and coordinating with speaker agencies.
- Work with the marketing team to coordinate the timeline of develop for promotional materials, social media campaigns, and conference communications.
- Oversee project management tasks, ensuring all departments align to execute a seamless event.
- Monitor and manage the conference budget, tracking expenses and ensuring financial adherence.
- Provide on-site leadership during the summit, overseeing event logistics and attendee experience.
Requirements:
- Project management experience with a strong emphasis on event/conference planning or adult learning initiatives.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
- Strong communication and stakeholder management skills to collaborate with internal teams, vendors, and external partners.
- Experience developing conference agendas and coordinating speakers is preferred.
- Familiarity with event marketing, including content creation and audience engagement strategies.
- Must be available for on-site support weekly in Kansas City and the full week of the event in fall 2025.
