Job Summary:
The Senior Legal Billing Specialist is responsible for managing and overseeing the firm's billing processes, ensuring accuracy, efficiency, and compliance with all relevant policies and regulations. This role involves supervising billing staff, handling complex billing issues, and collaborating with attorneys and clients to resolve billing disputes and discrepancies.
Key Responsibilities:
- Billing Management:
- Prepare, review, and finalize client invoices in accordance with client billing guidelines and firm policies.
- Ensure timely and accurate processing of all client bills, including electronic billing submissions.
- Monitor and track billing deadlines to ensure invoices are sent out promptly.
- Supervision and Training:
- Supervise, train, and mentor junior billing staff.
- Oversee daily activities of the billing team to ensure compliance with firm policies and procedures.
- Provide regular feedback and performance evaluations for billing staff.
- Client and Attorney Liaison:
- Act as the primary point of contact for billing inquiries from attorneys and clients.
- Collaborate with attorneys to address and resolve billing issues and discrepancies.
- Maintain strong relationships with clients to facilitate smooth billing processes.
- Reporting and Analysis:
- Generate and analyze billing reports for management review.
- Identify and implement process improvements to enhance billing efficiency and accuracy.
- Provide regular updates to management on billing status, outstanding receivables, and any potential issues.
- Compliance and Documentation:
- Ensure compliance with client billing guidelines, legal standards, and firm policies.
- Maintain accurate and up-to-date billing records and documentation.

- Software and Systems:
- Utilize billing software (e.g., Elite, Aderant, or similar) to manage and process invoices.
- Stay updated on software upgrades and new features to maximize billing efficiency.
- Train staff on the use of billing software and best practices.
Qualifications:
- Education:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred.
- Experience:
- Minimum of 5-7 years of experience in legal billing, with at least 2 years in a supervisory role.
- Proven experience with electronic billing systems and legal billing software.
- Skills:
- Strong understanding of legal billing procedures and compliance requirements.
- Excellent analytical, problem-solving, and organizational skills.
- Proficient in Microsoft Office Suite, particularly Excel.
