- Monday through Friday, 9AM-3PM
Office Manager - Duties:
- Maintains a positive and professional demeanor toward residents/families, visitors and co-workers. Serves as the receptionist and greeter for the office.
- Answers incoming phone calls in a friendly, professional manner and directs calls to appropriate person.
- Increases bandwidth for the Corporate team by anticipating needs and taking ownership of planning, and being proactive.
- Provides support as required to ensure that company goals and objectives are accomplished and operations run efficiently.
- Mail and package management - receive/sort incoming mail and manage outgoing mail, ensure postage machine is functional and prepared for all mailings. Accept incoming packages and prepare and drop off any outgoing packages.
- Implements and maintains procedures/office administrative systems.
- Day to day operation of office; supplies, vendor relations, maintenance, cleaning.
- IT support liaison.
- Assists with accounts payable and other accounting/vendor related tasks.
- Manages business card ordering for corporate and community Directors.
- Organizes and manages group meetings and Zooms.
- Prepares correspondence, presentations and reports as directed.
- Liaises with customers and external agencies.
- Assists with recognition programs for staff and other employee appreciation events.
- Maintains corporate and community distribution lists.
- Respects and maintains confidentiality of the office, its records and restricted information.
- Assists CEO with email management, calendars, appointments and travel arrangements.
- Performs other duties as assigned.
Office Manager Requirements:
- An Associate’s Degree (A. A.) or equivalent from two-year College or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent verbal and written communication skills. Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Accounts Payable experience a plus
