MorningStar Coffee, is seeking a highly motivated and organized Administrative Coordinator to join our team. This is a full-time position ideal for someone who thrives in a fast-paced, dynamic environment and enjoys working both independently and collaboratively. In this role, you’ll be at the heart of the operation, providing exceptional customer service and support to ensure smooth office and operational functions.
Key Responsibilities:
- Serve as the first point of contact for customer inquiries via phone, email, and in-person interactions.
- Handle sales orders efficiently, both from our retail customers and online sales, creating orders and invoices using our manufacturing and inventory control software.
- Ensure office operations run smoothly, including managing supplies, maintaining cleanliness and organization in the office and reception areas, and preparing documentation for shipping (e.g., invoices, labels).
- Oversee all required certifications (Fair Trade, Organic, Kosher, and others) and manage the timely renewal of relevant licenses with the MN Dept. of Health and MCIA (Minnesota Crop Improvement Association).
- Keep accurate records of roasting and packing activities, including weekly updates to Organic Log Books.
- Respond promptly and professionally to customer service inquiries and complaints, ensuring customer satisfaction and following through to resolution.
- Manage shipping processes, including creating shipping labels for USPS and UPS, and dispatching third-party technicians when needed for out-of-state service.
- Maintain and update customer and product databases to ensure the most current information is on hand.
- Foster a positive and respectful working relationship with team members, contributing to a collaborative environment.
Required Skills & Qualifications:
- At least 1 year administrative experience, preferably in a fast-paced, customer-focused environment.
- Prior experience using Microsoft Word, Excel, Outlook, and QuickBooks is a plus.
- Prior experience with manufacturing or inventory control software is a plus.
- Strong verbal and written communication skills—must be comfortable interacting with diverse groups, including customers and colleagues at all levels.
- Attention to detail and the ability to juggle multiple tasks while staying organized.
- Ability to maintain a high level of confidentiality and act with integrity in all aspects of the role.
- Previous experience in customer service and problem-solving.
