Morongo Legal seeking a dynamic and highly organized individual to join our team as a Legal Secretary/Office Manager. Under the supervision of the Tribe’s attorneys in the Legal Department, this dual rule is for someone who thrives in a fast-paced professional environment and possesses strong administrative, organizational, and legal support skills. The ideal candidate will possess strong attention to detail and take great pride in their work. This individual will be responsible for ensuring the smooth day-to-day operations of the Legal Department while providing essential paralegal support.
Office Management
- Oversee the day-to-day administrative operations of the office, including scheduling meetings and calls, booking travel, organizing and paying invoices, tracking and responding to emails, tracking and following up on assignments and deliverables, procuring supplies, and general office maintenance (corresponding with vendors, IT, and Facilities).
- Manage vendor relationships and contracts to ensure efficient operations.
- Organize and maintain office systems, including mail and file management, database upkeep, and electronic records.
- Coordinate internal and external meetings, prepare agendas, and handle meeting logistics.
- Confer with and assist Tribal attorneys and other Tribal Administration departments in reviewing correspondence, tracking deliverables and assisting in the ongoing development of policies, procedures, and templates to increase efficiency of Legal Department operations.
- Confer with and assist community members with relevant Legal administrative matters.
- Act as the primary point of contact for internal staff and external stakeholders regarding Legal Department operations.
Legal Secretary
- Conduct basic legal and factual research and compile case-related information for attorneys.
- Draft and review email correspondence for tribal attorneys.
- Prepare, proofread, and edit template agreements, letters, legal documents, correspondence, and reports for attorney review.
- File legal documents with courts and regulatory bodies, ensuring deadlines are met.
- Assist in preparing for hearings and client meetings by organizing evidence and legal documentation.
- Maintain confidentiality and organization of case files and sensitive information.
- Track and calendar deadlines and ensure compliance with legal and regulatory timelines.
- At least ten years work experience as a legal secretary, office manager, paralegal or court clerk, or other similar role assisting attorneys.
- Proven experience in office administration and familiarity with legal environments.
- Ability to review contracts and other legal documents for grammar, spelling, and accuracy.
- Proficiency in office software (e.g., Microsoft Office) and legal research tools.
- Familiarity with Lexis Nexis and Westlaw preferred.
- Strong interpersonal and communication skills, both written and verbal, in-person, electronic, and telephonic.
- Ability to establish and maintain effective working relationships with others.
- Ability to manage and prioritize a workload in a fast-paced environment.
- Experience with paper and digital organization.
- Valid California driver license.
