Job Summary
The Human Resources Assistant will provide administrative support in all areas of human resources, including but not limited to file maintenance, creating and maintaining reports, HRIS entry and other general day-to-day administrative duties. The Human Resources Assistant is the front line for providing customer service to employee and manager needs. The Human Resources Assistant assists in federal, state, and Joint Commission survey preparedness activities. The Human Resources Assistant must have very strong organizational skills, the ability to keep employee information confidential, and excellent computer skills.
Job Responsibilities
- Manage and maintain the calendar of the HR director.
- Prepare ID cards for new hires and current employees.
- Screen and Answer telephone calls; send to correspondent person.
- Prepare and Send Employment Verification for current and former employees.
- Order and maintain HR department monthly inventory.
- Respond to employee inquiries via phone and email providing accurate and consistent information in a timely manner.
- Track for all departments - Performance Evaluations, Mandatory Training and EHS completion.
- Produce report to inform management of evaluation due dates and other related requirements.
- Assist with preparation of new employee orientation by ordering meals, including but not limited to creating and issuing employees’ ID badges.
- Track and maintain spreadsheets to include but not limited to: Employee Referral, Union Referrals, Position Tracking, Sexual Harassment and Probationary/Annual Evaluations.
- Performs other tasks as assigned.
Qualifications
Job Specification
- Experience: One year of HR administrative experience, preferably in a healthcare setting.
- Education: High School Diploma required, associate’s degree in human resources or related field preferred or 1 year of HR experience and/or training; or equivalent combination of education and experience.
- Skills: Proficient in routine administrative practices and demonstrated competence using Microsoft Word, Excel, PowerPoint and Outlook. Proficiency using an HRIS system, such Paycom, is strongly preferred. Must be willing and able to learn new software as needed.
- Interpersonal Skills: Must be able to communicate clearly, calmly and effectively with all levels of staff and with the public in general.
- Language Skills: Must be fluent in English and able to communicate clearly both in writing and verbally. Bilingual English-Spanish a plus, but not required.
- Mathematical Skills: Must be proficient with basic arithmetic functions, including percentages and averages.
- Physical Demands: Must be able to lift 5 pounds on a regular basis. Occasional lifting up to 25 pounds. Must be able to sit and/or stand for extended periods.
Salary : $50,000 - $58,000
