GENERAL JOB DUTIES:

This position is responsible to provide professional, courteous service to visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival. Answers all incoming telephone lines and direct as requested.

ESSENTIAL JOB FUNCTIONS:

  • Interact with internal and external visitors, customers and vendors in a customer-service oriented, professional manner whether in person, by phone, or other means of communication.
  • Directs visitors according to maintained employee and department directories.
  • Maintains security by following procedures.
  • Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.
  • Handle inquiries and incoming requests for assistance in a prompt, courteous manner.
  • Must be willing to perform general clerical duties including tasks such as photocopying, scanning, and filing, etc. and complete other duties as assigned by supervisor.
  • Punctuality and regular attendance are essential to the success of this position.
  • Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs; contributes to team effort by accomplishing related results as needed.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Provide backup for the responsibilities of the Mailroom Associate position.
  • Manage software permissions associated with building entry.
  • Ensure data uploads are accomplished successfully from various crane tracking software.

Requirements:

REQUIRED EDUCATION, TECHNICAL SKILLS AND EXPERIENCE:

  • Must have 3 years’ experience answering and routing incoming phone calls on a multi-line phone system.
  • Must be able to effectively communicate with co-workers, customers and vendors in a professional business environment, demonstrating a commitment to providing outstanding customer service.
  • Ability to work in a collaborative manner with all personnel to make sure the department’s assigned tasks are complete timely and accurately.
  • Ability to handle confidential information in a professional and respectful manner.
  • Must possess excellent organizational skills and the ability to multi-task and adjust priorities as necessary in order to meet department deadlines.
  • Knowledge of standard office administrative and clerical practices, procedures and systems such as filing and record-keeping with experience in the operation of a multi-line phone system and standard office equipment.
  • Proficient computer skills and knowledge of relevant software applications including MSOffice Suite.
  • Must possess a good working knowledge of business machines including, phone, fax, scanner, email and 10-key by touch with proficient use of email and internet.
  • High School Diploma or general education degree (GED) required.

PHYSICAL REQUIREMENTS:

  • While performing the duties of this job, the employee is regularly required to sit intermittently for 6 to 8 hours per day.
  • Demonstrate auditory and speaking capabilities needed to effectively communicate with others in a professional business environment.
  • Able to efficiently use the telephone for a minimum of 6 to 8 hours per day.
  • Use arms, hands and fingers to operate office equipment in an efficient manner at an acceptable pace for a professional business environment.
  • Physical mobility and dexterity required in order to be able to operate a variety of office equipment efficiently.
  • Occasionally lifting and/or moving objects weighing up to 25 pounds.
  • Specific visions abilities required include close vision, ability to adjust focus, and read computer screen information.
