Secretary II - Enrollment/Data Specialist
8 hours per day/ 210 work days per year
Shift Time: Monday - Friday; Approximately 7:30-4:00pm - TBD
Salary Range: Per P.S.E. Contract
Shift time is subject to building needs.
REPORTS TO: Principal
SECRETARY II: Performs a wide variety of secretarial, clerical, and bookkeeping duties using
independent judgment within generally defined methods, practices, and procedures in the area of school enrollment and data.
GENERAL QUALIFICATIONS:
1. High School Diploma or G.E.D. equivalent.
2. Two (2) years of clerical experience using various computer applications, or any
combination of education and experience, which provides the applicant with the
knowledge, skills and abilities required to perform the job.
3. Ability to successfully complete the following assessments: typing test-Typing (upper
Moderately E?ective to Highly E?ective range), math test, grammar test, basic excel test,
proofreading test, and other assessments as applicable to the position.
4. School secretarial experience preferred.
5. Must be willing to work with a flexible schedule.
6. Ability to maintain the confidentiality of sensitive information.
7. Bilingual/biliterate preferred.
ESSENTIAL FUNCTIONS:
1. Organizes and coordinates enrollment/data office operations. Independently performs tasks involving: Master Schedule planning, student course registration, student program transfers, SBA testing sections, monthly school counts, generation of school data reports, and makes related decisions within the scope of authority, often in the supervisor’s absence. Assists in developing office procedures and policies; establishes and maintains recordkeeping systems.
2. Formats, types, edits, and proofreads correspondence, memos, forms, reports, and meeting minutes, and other documents from a handwritten draft, oral instructions, or dictation
Using a variety of computer applications, documents may be confidential in nature.
3. Maintains and updates computer databases and spreadsheets by verifying and
inputting a variety of student information, grades, transcripts, schedules, attendance,
discipline, and other records; generates recurrent reports such as current status lists and
statistical summaries.
4. Establishes and maintains a filing system of detailed records, including the updating,
transferring and purging of files.
6. May be asked to work beyond the required workday on occasion due to emergency issues or projects.
7. Coordinates and prepares necessary materials for major activities such as
registration, open house, celebrations, graduation, etc.
8. Maintains and updates inventories of supplies, books, furniture, and equipment.
9. Coordinates or performs receptionist backup duties by answering and routing telephone calls and providing assistance and information to the public in person, in writing, or by telephone.
10. Coordinates or performs registrar duties by enrolling students, withdrawing students,
calculating honor roll and GPA rank, making transcript adjustments, report card reports,
creating data reports, etc.
11. Assists students by coordinating or performing new student registration.
12. Coordinates and completes reports such as end-of-year reports, audit reports,
monthly count/FTE reports
13. Summer school start-up secretarial support
14. Assist administration by providing secretarial support as needed.
15. Performs other related duties as assigned.
KNOWLEDGE REQUIRED:
1. General office/secretarial practices and procedures.
2. Common practices and procedures of processing and disseminating information and
supporting documentation.
3. A working knowledge or experience working with Student management systems, such as Skyward, and the ability to improve expertise in these systems.
SKILLS REQUIRED:
1. Must have the ability to relate in a positive manner with supervisors, staff, students,
families, and the public using tact, courtesy, kindness, and professionalism in all
situations.
2. Documented history of working with ALL staff members in a positive, cooperative, and
professional manner.
3. Successful experience working cooperatively with administration and staff to maintain a
safe and caring learning environment.
4. Demonstrated knowledge and skills of general bookkeeping practices and procedures.
5. Demonstrated knowledge and skills in operating a standard office.
6. Demonstrated knowledge and skills to effectively use a variety of computer applications
such as Google applications, including Google Docs, Google Sheets, Google Forms,
Google Calendar, etc, Skyward, Citrix, Homeroom, and others as specified.
7. Demonstrated knowledge and skills to develop and maintain office procedures and
recordkeeping systems.
8. Demonstrated knowledge and skills to independently plan, organize, and coordinate office
activities, often in the supervisor’s absence.
9. Demonstrated abilities to type or enter data quickly and accurately.
10. Demonstrated knowledge and ability to perform calculations quickly and accurately, and
record and balance financial data.
11. Required to work independently with a high degree of accuracy and attention to detail in
all areas.
12. Demonstrated ability to understand and execute verbal and written instructions, policies,
and procedures.
13. Documented history of good attendance. Good attendance and punctuality required.
TESTING REQUIREMENTS:
1. A first aid card may be required for specific positions.
2. Ability to successfully complete the following assessments: Typing (upper Moderately
Effective to Highly Effective range), math, grammar, basic Excel, proofreading, writing
sample (optional), 10-key test (optional), accounting (optional) tests.
Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
