JOB DESCRIPTION
TITLE: School Bookkeeper
REPORTS TO: Principal
JOB GOAL: To provide administrative support for the Principal, staff, parents, and students of the school in order to
maintain an effective, efficient, and friendly school environment.
PERFORMANCE RESPONSIBILITIES:
- Public Relations
- Greets visitors; answers routine questions; directs visitors to appropriate area or staff members; deals with
concerns of parents, staff, and students.
- Assists Principal or staff members, especially in the area of accounting procedures.
- Answers telephone: takes messages; answers routine questions; directs calls, if needed.
- Assists applicants, vendors, real estate agents, service people, and others who have business to conduct in the school.
- Assists in scheduling conferences for the Principal or staff members, if needed.
- Local School Business Management – must adhere to strict local, state, federal and auditor guidelines in all areas.
Local School Funds
- Receives funds; follows adopted procedures for handling monies.
- Prepares purchase orders.
- Pays invoices.
- Reconcile bank accounts monthly.
- Reconcile and submit other required monthly/annual reports to Central Office according to designated deadlines using NextGen software.
- Transfer funds: move funds from checking account to investment account as directed.
- Prepares for yearly audit.
- Monitors and maintains records of revenues and expenditures by teacher for local funds and PTO funds.
- Assists in school budget preparation.
- Coordinates with other Bookkeepers to ensure all financial matters for the school is addressed in a timely manner.
System Funds
- Provides necessary payroll data to Central Office.
- Monitors accounts reimbursable by Central Office.
- Monitors spending of downloaded funds according to system procedures.
State Funds
- Monitors and maintains records of expenditures by teachers from State allocations.
- Registration
- Coordinates and handles all funds related to registration of students.
- Secretarial/Clerical Assistance
- Types documents including correspondence, reports, memos, bulletins, etc.
- Updates bookkeeping policies and procedures.
- Maintains office bookkeeping files.
- Receives and responds to incoming mail including invoices and related correspondence.
- Monitors maintenance of office equipment.
- Assists school administrators in a variety of tasks which facilitate the efficient management of the school.
TERMS OF EMPLOYMENT: 12 months (240 days). Salary based on support personnel salary schedule.
EVALUATION: Performance is evaluated in accordance with Board policies.
