Position Overview:
We are seeking a highly organized, proactive, and detail-oriented individual to join our team as a Part-Time Administrative Assistant to the Management Team. In this role, you will support the management team with various administrative tasks, ensuring smooth daily operations and assisting in managing time and priorities efficiently. This position offers a unique opportunity to work closely with senior leadership and gain exposure to the strategic aspects of a growing organization.
Key Responsibilities:
- Executive Support:
- Manage calendars and schedule meetings, appointments, & arrangements.
- Prepare and organize documents, presentations, and reports for meetings.
- Handle confidential and sensitive information with professionalism and discretion.
- Screen and prioritize incoming communications, including emails and phone calls for the management team.
- Office Coordination:
- Assist in organizing office events, conferences, and team meetings.
- Prepare and maintain filing systems, both physical and digital.
- Order office supplies and ensure the office environment remains organized.
- Project Assistance:
- Support the management team with special projects and day-to-day operational tasks.
- Research and compile data, reports, and materials as requested by the management team.
- Coordinate internal and external communications on behalf of the management team.
Qualifications:
- Proven experience as an administrative assistant or in a similar role (experience supporting senior leadership preferred).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to work independently and handle multiple tasks simultaneously.
- Discretion and confidentiality in handling sensitive information.
- Flexible and adaptable to changing priorities.
Preferred Skills:
- Familiarity with CRM systems and email marketing tools is a plus.
- Ability to work in-office
Work Schedule:
- Flexible part-time schedule (approximately [20-25] hours per week)
- Occasional evening availability may be required for urgent tasks.
Compensation:
- Competitive hourly rate based on experience.
