Overview:
The Administrative and Tenant Services employee is a key member of the team, responsible for providing excellent customer service to tenants and visitors. This position requires a professional and friendly demeanor, through emails, over the phone and in person. The ideal candidate will possess strong organizational and critical thinking skills to support the company’s operations and ensure the smooth running of the company. This role requires accuracy, attention to detail, and the ability to multitask while providing exceptional tenant services and administrative support.
Essential Duties & Responsibilities:
Provide administrative support to various departments, assisting with day-to-day tasks and events as needed.
Greet and assist visitors in a professional and friendly manner, ensuring a positive first impression.
Answer and direct phone calls in a courteous and timely manner.
Accept tenant payments and make bank deposits.
Create and track work orders to ensure timely maintenance and service requests.
Maintain building access controls and ensure proper access for tenants, vendors and visitors.
Generate and maintain reports related to tenant activity, property status, and other required data.
Keep tenant contact lists up to date and organized.
File, copy, and scan documents as needed, ensuring proper organization and easy retrieval.
Open, stamp, and distribute mail and packages to ensure timely and accurate delivery.
Assist in planning and organizing special events for tenants.
Qualifications:
Proven experience in an administrative or customer-facing role, preferably in property management or a similar field.
Strong communication skills, both verbal and written, with the ability to interact professionally with tenants, visitors, and coworkers.
Pleasant, friendly, and approachable personality with a strong customer service orientation.
Excellent organizational skills with a high attention to detail and accuracy.
Critical thinking and problem-solving abilities to handle various tasks efficiently and effectively.
Proficiency in Microsoft Office Suite (Word and Excel), Google Workspace (Gmail and Google Drive), and general office equipment (postage machine, copier, scanner).
Ability to handle confidential information and maintain privacy in all dealings with tenants and property information.
Ability to multitask, prioritize, and work under pressure in a fast-paced environment.
Physical Requirements:
Ability to stand or sit for extended periods.
Occasional lifting of items up to 25 lbs. (e.g., mail, office supplies).
Occasional walking between office areas and property locations.
Work Environment:
Office setting with regular interaction with coworkers, tenants and visitors.
Some exposure to property areas for work orders, maintenance requests, and events.
Job Type: Part-time
Pay: $18.00 - $23.00 per hour
Expected hours: 20 – 30 per week
