Mountain Radiance Medical Spa is an Asheville based medical spa offering Botox injectables, laser hair removal, PRP therapy, and more. The spa is run by a board-certified physician, providing top-notch services to its clients.
Role Description
This is a full-time on-site role for a hybrid role as Medical Assistant 1-2 days per week, and receptionist 1-2 days per week (possible potential for 4 full days per week in the future) located in Asheville, NC. The Front Desk Staff will be responsible for phone etiquette, receptionist duties, customer service, communication with clients, and computer literacy. The medical assistant will be responsible for assisting our providers as needed. This is including but not limited to uploading photos to charts, typing client notes, inputting billing information for checkout, prepping medical supplies, cleaning/prepping rooms.
Duties and Responsibilities:
- Oversee all aspects of client relations, working with management to ensure daily operations run smoothly
- Manage provider schedule in Electronic Health Record as directed by Practice Director
- Manage client check-in/check out, including ensuring paperwork is up to date prior to each appointment, applying appropriate discounts, collecting payments
- Prepare and maintain current client information
- Act as liaison between waiting clients and providers
- Answer phone and take accurate messages
- Schedule client appointments with providers, manage multiple providers’ schedules
- Communicate with clients before and after appointments through email, phone, and text
- Assist in regular inventory of snacks/drinks, skincare, medical products, and other medical supplies - alert medical director or practice manager when new stock needs to be ordered
- Participate in developing and maintaining goals, action plans, priorities, and objectives with other members of the team
- Review policies and procedures annually or as needed
- Assist with cleaning the facility at the end of the day and during the day
- Assist with additional tasks or duties as needed
- Responsible for familiarizing yourself with products and services offered
- Responsible for making sure front desk and reception area are clean and ready for clients
- Assist providers as needed (each provider may have different needs)
Qualifications
- Phone Etiquette and Receptionist Duties skills
- Customer Service and Communication skills
- Computer Literacy
- Ability to multitask and prioritize tasks effectively
- Strong organizational skills
- Experience in a similar role is a plus
- High school diploma or equivalent
- Experience in aesthetics industry a plus
We are currently only hiring for front desk staff and medical assistant, we do not have any openings at this time for aestheticians or injectors. If you are looking for a job as an aesthetician or injector, please do not apply. This includes having a goal of becoming an injector or aesthetician someday and getting your foot in the door. We are looking for someone who will be with us as front desk/office assistant for the long term.
