Job Description:
We are seeking a highly organized and detail-oriented Administrative Assistant & Scheduler to join our dynamic team. In this role, you will be responsible for providing administrative support, managing schedules, and ensuring the efficient operation of our office. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a proactive approach to problem-solving.
Key Responsibilities:
- Provide administrative support to the management team and staff.
- Manage and coordinate schedules for technicians, ensuring timely service delivery.
- Handle incoming calls and emails, directing them to the appropriate departments.
- Maintain accurate records and files, both electronic and paper.
- Assist with preparing reports, correspondence, and other documentation as needed.
- Perform data entry and update internal databases with accurate information.
- Assist in the preparation of job proposals and service contracts.
- Provide exceptional customer service to clients and vendors.
Qualifications:
- High school diploma or equivalent.
- Proven experience as an administrative assistant, scheduler, or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Experience in the fire protection industry is a plus but not required.
