Mountain West Consulting (MWC) is seeking an Office Administrator to play a key role in managing office functions, supporting leadership, and ensuring efficient operations. As the face of the company within the office, this role provides administrative support, oversees office logistics, coordinates leadership activities, and enhances internal team engagement. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication skills and a commitment to excellence.
Duties and responsibilities

Office & Facilities Management
- Oversee the organization, cleanliness, and functionality of the office space.
- Maintain office supplies inventory, including ordering, stocking, and managing deliveries.
- Handle office-related vendors and service providers (maintenance, IT, security, etc.).
- Act as the first point of contact for office visitors, ensuring a welcoming environment.
- Manage all incoming communications.
Administrative & Leadership Support
Manage the Operations Director’s calendar, travel arrangements, and expenses.Check, scan, and manage incoming mail and the MWC general inbox, directing items to the appropriate teams.Organize, store, and maintain company records and files within Microsoft Teams.Act as a liaison between leadership and the team, facilitating internal communication.Support the Admin Team and Program Leads as directed by the Operations Director.New Employee Onboarding & Engagement
Welcome new employees and ensure a smooth first-day experience.Assist the HR Director with onboarding as required.Coordinate and distribute swag bags for new hires.Create new employee welcome emails and ensure proper introductions.Assist in Paylocity with position and role setup for new hires.Communications & Event Support
Assist in the creation of the MWC Newsletter to align with company updates.Help coordinate company events, team-building activities, and off-site meetings.Assist with event activities (name tags, suppliers, logistics, etc.).Attend meetings, take notes, and update relevant items in EOS Ninety software.Update data entry for Scorecards, ensuring key metrics are tracked accurately.Assist in document creation, branding, and marketing efforts for MWC.Invoicing & Customer Service
Support invoice responsibility, ensuring accuracy and timely submission.Provide customer support related to invoice inquiries.Track and maintain invoice records for financialRequirements : Qualifications

Bachelor's degree preferred.Ability to analyze and improve operational processes.Strong people management and organizational skills.Excellent communication skills, both written and verbal.Strong problem-solving and time management skills.Detail-oriented.A high degree of skill in written and oral communications.Must possess a valid driver's license and clean driving record.Must pass a State and Federal criminal history / security pre-employment background check.Must pass pre-employment drug screen.Preferred Qualifications
