What are the responsibilities and job description for the Office Secretary/Financial Secretary position at Moxham Covenant Brethren Church?
Primary Job Functions:
- Provide office and secretarial support to the Pastor
- Prepare all correspondence
- Prepare, print and distribute the weekly church program and any programs related to special church services throughout the year
- Prepare Sunday School announcements and programs as directed by the Pastor
- Provide office and secretarial support for the Board of Directors and the various church committees
- Prepare all correspondence to the congregation, third party service providers, government entities, related organizations and/or the general public
- Maintain church financial records
- Perform financial transactions related to the day-to-day operations of the church; including but not limited to Accounts Payable/Receivable
- Accurate bookkeeping of all activities related to memorials, trusts and any other designated funds given to the church, up to the moment of funding receipt
- Accurate posting all individual congregational offerings to the individual contributions records database
- Provide a year end individual giving statement by January 31 to all congregational members who made “on the record” offerings during the previous calendar year
- Payroll processing for all salaried church employees
- Quarterly withholding of all income taxes for all church salaried employees
- Prepare W2s for all salaried church employees prior to January 31 for the prior year
- Monthly bank statement reconciliation
- Maintain the accuracy of the church membership directory in accordance with deceased members, new members, congregational departures, and changes of any contact information (i.e. change of address, phone number changes)
- Electronic and/or hard copy filing/storage of all critical church correspondence
- Distribute information to the congregational member mailboxes
- Building security at the end of your work day
- Perform other duties as assigned
Requirements: The incumbent will be expected to be outgoing, punctual, attentive to detail, organized and possessing basic computer literacy including word processing, spreadsheet, email and internet.
Training: Comprehensive training will be provided.
Compensation and Hours: In this role, the incumbent will be scheduled for 18 hours/week, in three 6-hour days at a pay rate to be determined to be determined by the Board of Directors. Compensation will be commensurate with the incumbent’s experience.
